Change password

The Change Password page sets a new password for signing in to TrakIT with your user ID or email address. You use it to change your password while you are signed in, to set a new one with a reset link when you have forgotten it, and to replace a password that has expired.

Your password is used only when you sign in with your user ID or email address and a password. If you sign in with Google, Microsoft, a passkey or your Windows account, you don’t need it.

  1. Open the Change Password page:
    • on a computer, select the key icon (Change Password) in the top bar;
    • in the mobile app, select the person icon at the top right, then Change Password.
  2. In Current Password, type the password you use now.
  3. In Enter New Password, type the new password.
  4. In Confirm New Password, type it again.
  5. Select Change Password.

TrakIT shows Your password has been changed successfully. Use the new password the next time you sign in. Select Continue to go back to TrakIT.

Changing your password signs your user out everywhere else: in other browsers, in the separate TrakIT app and in any API sign-ins. The browser or app you changed it in stays signed in. Keep me signed in stops working in every browser: select it again the next time you sign in, if you want it.

To leave without changing anything, select Back.

The key icon appears in the top bar only if your installation lets you sign in with a password.

In the external portal, you change your password from your user menu: see Change Password.

Under the boxes, New Password Requirements lists the rules your new password must meet. Each turns from a red cross to a green tick as you type or paste the password:

  • New passwords must match
  • At least 8 characters long

TrakIT refuses a new password that:

  • doesn’t match in both boxes (The passwords entered do not match);
  • is shorter than 8 characters (New Password must be at least 8 characters long). It can be at most 20 characters long: the boxes take no more;
  • is the same as your current password (The New Password cannot be the same as the Current Password).

A longer password, with a mix of letters, numbers and symbols, is harder for someone else to guess.

It also refuses the change if Current Password is empty (Current password is required) or wrong (Current Password entered is incorrect).

If you can’t remember your password, ask TrakIT for a reset link:

  1. On the sign-in page, select Lost Password?.
  2. In User ID or Email, type your TrakIT user ID or the email address on your user record.
  3. Select Submit.
  4. Open the email from TrakIT with the subject Password Reset, and select the link in it.
  5. The Change Password page opens with your User ID filled in, and no Current Password. Type your new password in Enter New Password and Confirm New Password.
  6. Select Change Password.
  7. Select User Sign-in and sign in with your new password. A password set with a reset link signs your user out everywhere, in this browser too if you were still signed in.

After step 3, TrakIT always says If the User ID or Email you entered exists, an email will be sent with a password reset link., whether or not it found your user, so that the page can’t be used to find out who has a user. The email goes to the email address on your user record. If it doesn’t arrive within a few minutes, check your junk mail folder, then ask your system administrator to check your email address.

To go back to the sign-in fields without sending a link, select Back to Login.

A reset link:

  • works for 24 hours;
  • works once: after you change your password with it, it stops working;
  • stops working when you ask for another link. Use the link in the newest email.
Message on the Change Password page What to do
Password reset link has expired. Please request a new link. Select Lost Password? on the sign-in page again.
The reset link has already been used to change the password or is superseded with another link. Please generate a new link if required. Use the link in the newest email, or ask for a new one.
Password reset link must be used from recipients email only You opened a copy of the email inside TrakIT, which hides the link. Use the email in your own mailbox.

An administrator whose role has Reset Password in the User Management section can also reset your password, from Reset Password on your user record. TrakIT then emails you a new password, with the subject Password Reset, and signs your user out everywhere. Sign in with the new password, and then change it to one of your own.

Only TrakIT Support can reset the password of a system administrator.

Your company can make passwords expire after a set time, in User Password Expiry on the company: Never, 1 Month, 2 Months, 3 Months, 6 Months or 1 Year after your password was last set, by you or by an administrator’s reset.

When your password has expired, every TrakIT page you open takes you to the Change Password page, which shows Your password has expired and needs to be changed. Change it as in Change your password. Until you do, you can’t use the rest of TrakIT.

  • If you don’t know your current password, select Email me a link. TrakIT emails a reset link to the address on your user record: follow steps 4 to 7 in Reset a forgotten password.
  • To leave without changing it, select Sign Out.

Only the system administrators of your TrakIT installation can change User Password Expiry, in Admin > Masters > Companies.

Every user who signs in with a user ID or email address and a password can change their own password. Changing another user’s password is not possible: an administrator can only reset it, as in Ask an administrator to reset it.
