Operations reports

The Operations reports on the Interactive Reports page look at your work orders: where they stand now, which have gone quiet, how many open and close each week or month, how long they take from one event to another, and which containers are still building up delay charges.

To open one, select Reports > Interactive, then select the report under Operations in the list of reports.

This page explains what each report counts and what its figures mean. Setting the filters, reading the chart and the table, listing the work orders behind a figure (drill-down) and exporting to Excel work the same way in every report.

Report Answers Its filters
Job Status Where are the work orders now, event by event? Workflows, customers, work order status
Active WO Ageing Which active work orders have had no event for a while? Workflows, customers
WO Throughput How many work orders were created, closed and cancelled in each period, and how many were open? Workflows, customers, dates, period
Event Lead Time How many days does it take from one event to another? Events, workflows, customers, dates, work order status, grouping
Delay Tracking Statistics Which containers are still out, for how long, and what have they accrued? Workflows, customers

Every report covers only the workflows you have access to. Job Status, Active WO Ageing and Delay Tracking Statistics have no date range: they show your work orders and containers as they are now.

Job Status counts work orders by their current event: the last event recorded on each work order. Use it to see how much work is waiting at each step of each workflow.

How it counts:

  • Each work order counts once, under its last event, in the workflow of that event.
  • Only events that are active in their workflow and not for information only are listed. A work order whose last event is for information only, or is no longer active, is not counted, and neither is a work order with no events yet. The note under the table says so.
  • The Work order status filter applies to each work order’s status now. Job Status keeps its own status choice, separate from the other reports, and starts with Active only.

Its filters are Workflows, the customer filter and Work order status.

The chart shows the number of work orders in each workflow, for the 15 largest workflows. When the report has only one workflow, the bars are that workflow’s current events instead. Select a bar to list its work orders.

The table has a row for each workflow. Expand a workflow to see each of its events that is the current event of at least one work order, in the workflow’s order of events.

Column Shows
Workflow / Current event The workflow, and under it the event.
Work orders The work orders whose last event is this event, or that are in this workflow.
Earliest event How long ago the oldest of these current events is dated, for example 45 days ago. An event dated in the future shows as in, for example in 2 days.
Latest event How long ago the most recent of these current events is dated.

The figures above the chart are Work orders, Workflows (the number of workflows with work orders counted) and Oldest current event.

Drill-down: select a figure in Work orders to list those work orders, with Days at event: the days since the date of the work order’s last event. The work orders that have been at their event longest come first.

Active WO Ageing groups active work orders by the days since their last event, so you can find the work that has gone quiet.

How it counts:

  • Only active work orders count. Abandoned, closed and cancelled work orders are left out, so a work order that becomes abandoned after going without updates drops out of this report.
  • The days run from the date of the work order’s last event to today, or from the day the work order was created when it has no events yet.
  • The day ranges are 0-2 days, 3-7 days, 8-30 days and Over 30 days.
  • Each work order counts in the workflow of its job.

Its filters are Workflows and the customer filter.

The chart has a bar for each workflow, split into the four day ranges, for the 15 workflows with the most active work orders. Select a part of a bar to list those work orders.

The table has a row for each workflow. Expand a workflow to see the last events its active work orders are at; (No events yet) groups those that have none.

Column Shows
Workflow / Last event The workflow, and under it the work orders’ last event.
0-2 days, 3-7 days, 8-30 days, Over 30 days The active work orders whose last event is that many days old.
Active WOs All the active work orders in the row.
Average days The average number of days since the last event.
Oldest (days) The most days since a last event.

The figures above the chart are Active work orders, Quiet 8-30 days, Quiet over 30 days (in red) and Average days since last event.

Drill-down: select a figure in a day range or in Active WOs to list those work orders, with Days since last event. The quietest come first.

WO Throughput counts the work orders created, closed and cancelled in each week or month of the dates you choose, and how many were open at the end of each.

How it counts:

  • Created counts work orders by the day they were created.
  • Closed and Cancelled count work orders by the day they were closed or cancelled, and only if they are still closed or cancelled now. A work order that was closed and then re-opened is not counted as closed.
  • Net change is the work orders created, less those closed and cancelled.
  • The open count starts with the work orders open on the first day of your dates: created before it and not yet closed or cancelled by then. Each period’s net change is added to it to give the open count at the end of that period. Abandoned work orders count as open.
  • Weeks start on Monday. A week is labelled with its Monday, for example 07 Sep 26, and a month with its name, for example Sep 2026. The first and last periods count only the days within your dates.
  • Each work order counts in the workflow of its job.

Its filters are Workflows, the customer filter, the dates (the box is titled Period) and Period: Monthly (the default) or Weekly.

The chart has a group of three columns for each period: Created, Closed and Cancelled. Every period is shown. Select a column to list those work orders.

The table has a row for each period. Expand a period to see the workflows that had work orders created, closed or cancelled in it.

Column Shows
Period / Workflow The period, and under it the workflow.
Created, Closed, Cancelled The work orders created, closed and cancelled in the period.
Net change Created, less closed and cancelled. A rise shows with a +.
Open at period end The work orders open at the end of the period. On a workflow row, that workflow’s own open count.

The Total row adds up the periods, and shows the open count at the end of the last period. The figures above the chart are Open at start, Created, Closed, Cancelled and Open at end.

Drill-down: select a figure in Created, Closed or Cancelled to list those work orders, with the date and time each was Created, and when it was Closed or Cancelled. They are sorted by work order ID, highest first.

Event Lead Time measures the days from one event to another on each work order, for example from vessel arrival to delivery, by workflow and customer.

  1. Under Events, in From, choose the first event.
  2. In To, choose the second event. It cannot be the same as the first.
  3. Check the line under the two lists: it shows how many of the workflows you selected have both events. No workflow in this selection has both events means the report would be empty.

The lists offer the events of the active workflows you have access to, narrowed to the workflows or workflow group you selected. Events are shared between workflows, so one pair of events times every workflow that records both. If you run the report without two different events, TrakIT shows Choose two different events.

  • A work order counts when its first event is dated within your dates (the box is titled First event between).
  • Only entries that carry a date count. Entries marked NA or TBA, or left blank, are ignored.
  • The days run from the earliest entry of the first event within your dates to the latest entry of the second event, whenever that was. They are worked out to the minute and shown with one decimal.
  • Second before first counts the work orders whose second event is dated before their first, usually because a date was entered wrongly. They are left out of the averages and of the day ranges.
  • Not reached yet counts the work orders that have no dated entry of the second event.
  • The day ranges are Up to 2 days, 2-7 days (more than 2, up to 7), 7-30 days (more than 7, up to 30) and Over 30 days.
  • Each work order counts in the workflow of its job, and under the job’s customer, or (No customer).

Its filters are Events, Workflows, the customer filter, First event between, Work order status (the status of each work order now; it starts with all but Cancelled), and Group by: Workflow, then customer (the default) or Customer, then workflow.

The chart has a bar for each workflow (or customer), split into the four day ranges, for the 15 with the most work orders that reached the second event. Its title names the two events. Select a part of a bar to list those work orders.

The table has a row for each workflow (or customer). Expand it to see its customers (or workflows).

Column Shows
Work orders The work orders whose first event is dated within your dates.
Reached the second Those whose second event is dated on or after the first.
Average days The average days from the first event to the second, over the work orders that reached it.
Up to 2 days, 2-7 days, 7-30 days, Over 30 days The work orders that reached the second event within that many days.
Longest (days) The most days it took.
Not reached yet The work orders with no dated second event.
Second before first The work orders whose second event is dated before the first.

The figures above the chart are Work orders, Reached the second event, Average days, Within 7 days (the share of the work orders that reached the second event within 7 days), Not reached yet and Second before first (in amber).

Drill-down: select any figure with a count to list those work orders. The list adds a column for each event, named after it, with the two dates the report used, and Days between them. The longest come first; for Not reached yet, those waiting longest come first; for Second before first, those most out of order come first.

Delay Tracking Statistics sums up, by workflow, the containers on the Delay Tracking list that have not exited yet: how long they have been out and the delay charges they have built up so far.

How it counts:

  • Each entry on the Delay Tracking list without an exit counts, whatever its tracking type. A container tracked for two tracking types, such as demurrage and detention, counts twice.
  • Each container counts in the workflow of its entry work order’s job.
  • The days run from the entry date to today, with the entry day as day 1, as in Actual Days on the Delay Tracking page.
  • The charges are worked out to today in the same way as on the Delay Tracking page: the days beyond the free days, priced with the container’s slab days and rates and its thereafter rate. A container with no chargeable days, or no thereafter rate, has no charge.
  • Amounts are in the workflow’s currency.

Its filters are Workflows and the customer filter.

The chart shows the number of containers in each workflow, for the 15 largest workflows. Select a bar to list the work orders.

The table has a row for each workflow.

Column Shows
Containers The containers that have not exited.
Average days, Maximum days The average and the most days since entry.
Currency The workflow’s currency.
Average demurrage The average charge, over the containers that have a charge.
Total demurrage The charges of all the containers.

The Total row shows amounts only when every workflow in the report uses the same currency; otherwise its Currency shows Several and no amounts are shown. The figures above the chart are Containers, Average days, Maximum days, and a Total demurrage figure for each currency with charges, for example Total demurrage, USD.

Drill-down: select a figure in Containers to list the entry work orders, with the date and time the container Entered, its Days, the Currency and its Demurrage charge. The containers out longest come first. A work order with several entries is listed once, with its latest entry.

Message Meaning
That is more than 106 periods - choose monthly or a shorter date range WO Throughput shows at most 106 periods. Choose Monthly, or shorten the dates.
Choose two different events Event Lead Time needs a first and a second event, and they must differ.

The messages that every report can show are on the Interactive Reports page.
