Masters

The Masters menu, under Admin, holds the setup pages for what the rest of TrakIT is built on: your companies, the finance lists, the shared master tables, your own data fields, warehouses and yards, workflow groups, the CRM lists and the dispute lists. Most of them are filled when TrakIT is first set up, and changed only now and then. For the order to fill them in, see Setting up TrakIT and Setting up a company.

The menu shows all eight pages. Which ones you can open, and what you can change on them, depends on your role, as each page explains.

Companies lists your companies. A company is a legal entity that TrakIT keeps apart: each workflow, user and invoice belongs to one, and each company has its own settings, documents and finance. Create a company early, once its country is in Geo Data and its currency is on Finance Masters, because its workflows, users and finance need it.

Only system administrators can open this page.

CRM masters (the page is headed CRM Master Tables) holds the lead sources and lead stages that leads choose from. Set them up before your team starts recording leads.

Only system administrators can change them.

Data fields (the page is headed Data Field Definitions) adds your own fields to records other than jobs and work orders: assets, bills, companies, employees, entities, internal postings, invoices, items, leads, locations, payments, quotations, receipts, users and yard moves, one tab each. Add them whenever you need to record more than TrakIT’s own fields. The fields of jobs and work orders belong to their workflow instead.

Only system administrators can open this page.

Dispute configuration (the page is headed Dispute Configuration) holds the lists that disputes choose from: categories, the types within each category, root causes and document types. It also has Transfer Ownership, which moves disputes from one owner to another. Set the lists up before your team starts raising disputes.

Your role needs Read Configuration or Transfer Ownership in the Dispute Management section to open it. Only system administrators can change the lists.

Finance masters holds each company’s finance lists, one tab each: Account Masters (the charges that jobs, quotations, invoices and bills are made of), Country Taxes, Currencies, Account Groups, Financial Years, Payment Methods and Adjustments. Add the currencies before you create a company; set up the rest when you set up the company’s finance.

Your role needs Read in the Finance Masters section to open it. Some tabs need further permissions, and some changes are for system administrators only.

Master tables holds the shared lists that workflows, jobs, entities, assets, quotations and employees draw on: the master events and data fields that workflows are built from, workflow services, job types, KPI definitions, load types, document types, customer groups, delay tracking types, reasons, message templates, asset categories, designations and departments. Fill them before you build the workflows that use them.

Your role needs Read in the Masters section to see them. Only system administrators can change them, and TrakIT Support adds load types.

Warehouses & yards holds your warehouses and container yards, with their areas and storage locations. Set them up when your company starts running a warehouse or a yard; see Setting up warehousing.

Your role needs View Warehouses & Yards in the Masters section to open it. Only system administrators can add and change warehouses, yards, areas and storage locations.

Workflow groups gathers workflows into groups: every workflow belongs to one. A group has a code and a name, and sets whether its workflows use finance (Enable Finance) and whether they show only the work order view (Only Work Orders). Create a group before the workflows that go in it.
