Bills
The Bills page lists the bills (your invoices to the company) that you send through the portal, and shows where each one stands: still a draft, sent, accepted, approved, disputed or rejected, and how much of it has been paid. From here you open a bill and start a new one.
To open it, select Bills in the portal menu, or the Bills box on the portal home page. The page is headed Bills, with The bills you have sent us, and where they are under it.
Which bills are listed
Section titled “Which bills are listed”The company records each business it works with as an entity, and your portal account is linked to one or more of them: as a supplier, usually your own business. The list shows the bills of those entities, whoever added them: you, your colleagues, your own system through the vendor bill API, or the company itself when it entered one of your bills. The company can also limit the bills you see with filters of its own for your account.
Find a bill
Section titled “Find a bill”- Type part of the bill number in Bill Number, choose a Status, or both.
- Select Search, or press Enter in Bill Number.
The number of bills found appears above the list, for example 12 found. Clear clears the filters and lists all your bills again. The page does not keep your filters: when you come back to the list from a bill, it shows all your bills again.
| Filter | Finds |
|---|---|
| Bill Number | Bills whose number contains what you typed. |
| Status | Bills with that status (see Statuses), or – All –. Outstanding finds the bills with an amount still to be paid, after the company’s adjustments and the payments made, whatever their status. |
The list
Section titled “The list”The list shows 25 bills per page, the most recent bill date first. Select a bill to open it on the Bill page.
| Column | Shows |
|---|---|
| Date | The date of the bill. |
| Bill Number | Your bill number, as saved: in capitals, without spaces. |
| Vendor | The entity the bill is from. |
| Billed To | The company the bill is addressed to. |
| Curr | The bill’s currency. |
| Amount | The bill’s total, tax included. |
| Paid | The payments the company has made against the bill and approved. |
| Status | Where the bill stands: see Statuses. |
To sort the list, select the Date, Bill Number, Vendor or Amount heading. Select it again to reverse the order. An arrow marks the column the list is sorted by, and sorting takes you back to the first page.
When there are more bills than fit on one page, use Previous and Next below the list. No Bills Found means that no bill matches the filters.
Statuses
Section titled “Statuses”| Status | Means |
|---|---|
| Draft | You created the bill but have not sent it yet. You can still change it, add files, submit it or delete it. Drafts do not appear on the company’s list of bills. |
| Submitted | Sent to the company, waiting for it to accept the bill. It can no longer be changed. |
| Received | The company accepted the bill, or entered it itself, and is processing it. |
| Approved | The company has checked and approved the bill. Payment follows. |
| Disputed | The company has a question about the bill. The person who added it receives an email with the reason. |
| Rejected | The company sent the bill back, with a reason. You can correct it and submit it again. |
When more than one applies, the first one in this order is shown: Rejected, Approved, Disputed, Draft, Submitted, Received. For what happens to a bill once you have sent it, see After you submit.
Start a new bill
Section titled “Start a new bill”Select New Bill at the top right of the page, then fill in the bill: see New or modified bill. New Bill appears if your role can create bills.
Who can use this page
Section titled “Who can use this page”What you can do depends on your portal role, which the company sets up for you (see Portal roles):
| Section | Action | Allows you to |
|---|---|---|
| Vendor Bills | Read | See Bills in the portal menu, list the bills and open them. |
| Vendor Bills | Create | Start a bill with New Bill. |
You see only the bills of the entities your account is linked to. If a bill you expect is missing, ask your contact at the company to check which entities your account is linked to.
