Interactive reports

The Interactive Reports page runs ready-made reports on your work orders, KPIs, finance, disputes and users. Each report shows its main figures, a chart and a table. Every underlined figure opens the list of work orders, jobs, charges, invoices or disputes behind it, and you can export both the report and any list to Excel.

To open it, select Reports > Interactive.

All the reports work the same way: this page explains how. What each report measures, its own options and what its lists show are described on the page of its group: Operations reports, KPI reports, Finance reports, Dispute reports and Data and user reports.

  1. Choose the report in the list on the left.
  2. Set the filters.
  3. Select Run report.
  4. Read the figures, the chart and the table. Select an underlined figure to see what is behind it.

The list on the left holds the reports in five groups:

Group Reports Described in
Operations Job Status, Active WO Ageing, WO Throughput, Event Lead Time, Delay Tracking Statistics Operations reports
KPIs KPI Performance, Customer KPI Scorecard, KPI Trend, Open KPIs KPI reports
Finance Job Profitability, Revenue Trend, Work Not Invoiced or Billed, Invoicing Turnaround, Days Sales Outstanding Finance reports
Disputes Dispute KPIs, Open Dispute Ageing, SLA Performance, Disputes Breakdown, Financial Exposure, Owner and User Group Workload Dispute reports
Data & Users Data Quality, Event Update Delay, User Engagement Data and user reports

The selected report is highlighted, with a one-line description under its name. Point to another report to see its description.

A finance or dispute report your role cannot run is greyed out. Point to it, or select it, to see why, for example You do not have the finance permissions this report needs. See Who can use this page. The Disputes group appears only once dispute management is set up on your system.

The page opens on the report in its address or, when there is none, on the first report in the list that you can run. The address ends with the report, for example #dq for Data Quality, so you can bookmark a report. Your browser’s Back button returns to the report you had before.

Choosing another report clears the results and opens the filters: select Run report again.

On a narrow screen, the list becomes a row across the top of the page that scrolls sideways, without the group names and descriptions.

Select Filters to open or close the filter panel. Each report shows only the filters it uses.

The filters are shared by all the reports: the workflows, customers and dates you choose for one report are already set when you move to another. TrakIT remembers them in this browser for the next time you open the page, with a few exceptions:

  • Statement as of starts on today at each visit.
  • Workflows and events you can no longer see are dropped from the selection.
  • The Company of the finance reports goes back to your own company if the one you chose is no longer available to you.
  • Job Status keeps its own Work order status selection.

TrakIT remembers the dates themselves, not the range you chose them with. To move a range such as Last 30 days up to today, choose it again. The first time you open the page, the dates cover the last 30 days.

Some filters have an information icon next to their name: point to it for an explanation.

Filter Used by Choose
Company The finance reports One company: your own company or another you have access to. Every amount is shown in its currency, named under the list, for example Amounts in XOF. See Amounts in finance reports.
Workflows Every report except User Engagement The workflows to report on. Type in Find a workflow to shorten the list; the workflows you ticked stay listed. With more than one workflow group, the list above it narrows the workflows to one group, or shows All workflow groups. Clear unticks them all, and the double-check icon ticks all the listed workflows, or unticks them when all are ticked. None ticked means all workflows: all those you have access to, or all those of the chosen group, including inactive and archived ones.
Customers Every report except User Engagement The jobs of these customers. Type at least 2 characters of a customer’s name or code in Find a customer and choose it from the list. Each customer you add appears below; select its cross to remove it. With none added, all customers are included. The label uses your company’s name for customers.
Events Event Lead Time The two events to time, From and To. See Operations reports.
KPIs The KPI reports The KPIs to report on. The list holds the KPIs of the chosen workflows, or of all workflows when none is ticked. Find a KPI, Clear and the double-check icon work as for Workflows. None ticked means all KPIs.
Companies User Engagement The companies whose users are listed, from your own companies. None ticked means all companies.
Dates Most reports The From and To dates, or a range from Choose a range…. The label says which date is filtered, for example WO created or Invoice approved.
Statement as of Days Sales Outstanding The day the statement is read at, today or earlier.
Work order status Job Status, Event Lead Time, Data Quality and the KPI reports except Open KPIs Active, Abandoned, Cancelled and Closed work orders. Closed covers work orders closed by hand and closed automatically. It starts on Active, Abandoned and Closed, and on Active alone for Job Status.
Job finance status Job Profitability The finance statuses of the jobs to include. It starts on Approved, Closing requested and Closed.

Choose a range… offers Last 7 days, Last 30 days, Last 90 days, This month, Last month, This quarter, Last quarter, Last 6 months, Year to date, Last 12 months and Last year. Each range ends today, except Last month, Last quarter and Last year, which cover the whole previous month, quarter or year. Last 6 months and Last 12 months start on the first day of a month. Choosing a range fills in From and To; you can then change either date.

Both dates are included. Dates and times that TrakIT records with a time of day, such as when a work order was created or an event was entered, are compared by whole days in UTC, not in your time zone. So a record close to midnight can count on the day before or after the date it shows.

The options box at the end of the filters holds the report’s choices of how to show its figures:

  • Period: Monthly or Weekly, for the reports that show one column or bar per period: KPI Trend, WO Throughput and Revenue Trend. Weeks start on Monday. A report can have up to 106 periods.
  • Group by: the levels of the table, for example Workflow, then KPI or KPI, then workflow. The choices depend on the report:
Report Choices
KPI Performance, Open KPIs Workflow, then KPI or KPI, then workflow
Event Lead Time, Job Profitability, Days Sales Outstanding Workflow, then customer or Customer, then workflow
Invoicing Turnaround Workflow, then person or Person, then workflow
Revenue Trend Break each period down by Workflow or Invoice to
Customer KPI Scorecard Break each customer down by KPI or Workflow

When the grouping you chose for one report is not offered by another, that report starts on its first choice.

Other options, such as Lines, Place jobs by their, Place invoices by their, Count days from and Include locked users, belong to one or two reports and are described with them.

Until you run a report, the page says Choose your filters and press Run report. When you select Run report at the bottom of the filters, TrakIT checks the filters, shows Working… and then the results, and closes the filter panel. Its heading then sums up the filters, for example Workflows: 3 selected and WO created: 01 Sep 26 - 30 Sep 26. While the panel is closed, Run report at the top right runs the report again.

The figures are read when you run the report. The line above them says when, for example Generated 14:30, 25 Sep 2026, in your time zone. Run the report again to refresh them.

If you change a filter the report uses after running it, the filters say The filters have changed since this report ran. and the results say they are out of date. Select Run report to apply the change.

The results have, from top to bottom:

  1. The report’s main figures in boxes, such as totals and percentages. A figure that calls for attention, such as Out of range, is in red.
  2. For finance reports, the exchange rates behind the amounts.
  3. Tabs, when the report has more than one table: for example Events and Data items in Data Quality. The chart and the table show the selected tab.
  4. The chart.
  5. The table.

A finance report covers one company at a time, and every amount is in the company’s default currency, or in its most used job currency when it has no default. Amounts have the currency’s number of decimals.

Amounts in other currencies are converted at one rate per currency: the latest exchange rate on or before the report’s end date, the as-of date for Days Sales Outstanding, or today for Work Not Invoiced or Billed. When other currencies are used, the line above the chart lists their rates, for example Converted to XOF at 1 EUR = 655.957 XOF (01 Sep 2026):

  • the date is in amber when the rate is more than three months older than the report date;
  • a currency with no rate shows no rate, left out in red: its amounts are left out of the figures, never added in unconverted.

For how rates are entered, see Exchange rates.

The chart sits above the table, under a title that says what it plots, for example Active work orders by days since their last event. Most charts have one bar per row of the table’s first level, such as one per workflow. Reports by period have one bar per period, and KPI Trend draws lines.

  • A chart by row shows at most 15 rows: the largest, busiest or slowest, by the report’s own measure. When the table has more, a note next to the title says so, for example (the 15 largest of 42; the table has them all). Rows with nothing to plot are left out, and when no row has anything to plot, there is no chart. A chart by period shows every period.
  • Point to a bar to see its figures.
  • Select a bar, or one coloured part of a stacked bar, to list the work orders or records behind it. The pointer becomes a hand where you can. The User Engagement chart does not open lists.
  • Select Hide chart to keep only the table, and Show chart to bring it back. TrakIT remembers this in this browser, for all the reports.

The table holds every row of the report. Its first heading names the levels, for example Workflow / Event.

  • A row with a + has rows of the next level under it: select + to show them, and - to hide them. Expand all and Collapse all above the table open or close all the rows.
  • The Total row at the bottom, in bold, is the figure for everything in the report. A count of work orders is worked out for each row on its own, not by adding up the rows below it: a work order with two KPIs counts under each KPI, but once in the total.
  • Select a column heading to sort by it: figures from the largest, names from A to Z. Select it again to reverse the order. Rows are sorted among the rows of the same parent. Before you sort, the rows are in the report’s own order, for example workflows by name and events in workflow order.
  • - means there is no figure, for example a percentage of nothing.
  • Underlined figures open the list behind them. A zero does not.
  • The notes under the table say how its figures are counted.

When nothing matches the filters, the table says No data for these filters.

  1. Select an underlined figure in the table, or a bar in the chart.
  2. The list of what is behind it replaces the report. For most reports it is a list of work orders; for finance reports, a list of jobs, charges, invoices or statement items, described on Finance reports.
  3. To go back to the report, select the report’s name at the top left, or your browser’s Back button. The report is as you left it.

The line at the top says where the list comes from: the report, the row (for example the workflow and the event) and the column you selected. The list uses the filters the report last ran with.

Under it is the number of work orders or records, for example 124 work orders. A work order is listed once, even when the figure you selected counts several entries on it: the line then says so, for example The figure you clicked counts 130 entries; a work order with several of them is listed once.

Choose how many rows to show in Per page: 20, 50, 100 or 200. Previous and Next move through the pages. Select a column heading to sort by it, and again to reverse the order. A work order list starts with the newest work order, unless the report sorts it by one of its own columns.

A list of work orders has these columns, followed by the report’s own:

Column Shows
ID The work order ID, after its priority icon (point to the icon for the priority). Select it to open the work order in a new tab. The ID is red for an abandoned work order.
Workflow The work order’s workflow.
Operator The operator’s code. The heading uses your company’s name for operators.
Customer The job’s customer. The heading uses your company’s name for customers.
Job reference The job reference. The heading uses your company’s name for it, for example T/D.
Container/, followed by the load ID’s name The container number, or the load ID when there is no container number.
Size, Weight The container size, for example 40’, and the weight.
Last event The work order’s last event and how long ago it happened. Point to the time for the date. On an active or abandoned work order, a dot shows the event’s colour.

Closed and cancelled work orders are shown in grey. When there is nothing to list, the list says Nothing to list.

Select Excel at the top right, once the report has run. You download an Excel file of the report:

  • It uses the filters the report last ran with, not changes you have not run yet. The figures are read again when you export.
  • Each table of the report gets a sheet. A table with several levels gets two: Summary, with the first level and the total, and Detail, with every row of the last level and its parents’ names in columns of their own, ready to filter or pivot. When the report has several tables, each sheet name starts with the table’s name, for example Events Summary.
  • Each sheet starts with the report’s title, the filters, and Generated with the time and your name. The table’s notes are at the bottom.
  • Figures are numbers, percentages are percentages and dates are dates in your time zone, so you can sort and add them up. Amount headings name the currency, for example Income, XOF, and time logged in is in hours.

In a drill-down list, select Excel to download the whole list, all pages, in the list’s order, up to 50,000 rows. When there are more, the file says so at the top, for example Showing the first 50,000 of 63,210 work orders. The title includes where the list comes from. In a list of work orders, the ID is split into Work order ID, Priority and Status, and the last event into Last event and Last event date.

The reports with a Workflows filter, and their lists, cover only the workflows you have access to. The Company filter of the finance reports lists your own company and the companies you have been given access to, and so does the Companies filter of User Engagement, which also counts only the work in your workflows. System administrators see all workflows and all companies.
