News

The News page shows short articles posted for TrakIT users: announcements about your business, changes to TrakIT, or anything else everyone needs to know. Each new article is also emailed to the users who receive news updates.

To open it, select Home > News.

Articles are listed newest first. When some articles are pinned, they come first under Pinned, and the others follow under Latest. The page shows 15 articles at a time: select Show older articles at the bottom to see more.

Each article shows:

  • its title, with a New label if it was posted in the last three days;
  • Posted with how long ago, and who posted it. Point to the time to see the date and time. Select the name to see that user’s details. Articles posted by TrakIT itself show System;
  • who the article is for: one label per company, All companies, or SysAdmins only.

To read an article, select its title or Show more. The text appears with, if the article has a link, a button that opens the linked website in a new tab. Select Show less to close it again.

Type in Search to find articles by their title, text, author or company. An article is shown only if it contains every word you type, and the words are highlighted. The page shows how many articles match, out of the total, and opens every match.

  • Press / anywhere on the page to jump to Search, and Esc to clear it.
  • If nothing matches, select Clear the search.

A system administrator sees every article. Other users see the articles posted for all companies and those posted for a company they have access to, but not the ones for SysAdmins only.

TrakIT deletes old articles automatically, after the period set in your installation’s data retention policy. Only TrakIT Support can change it. Pinned articles are kept until they are unpinned.

  1. Select Post Article.

  2. In Post News Article, fill in the article:

    Field What to enter
    Title Up to 100 characters. It is also the subject of the email. It can’t be only a number.
    Article The text, as plain text. Line breaks are kept.
    Link (optional) A web address starting with https://. It appears as a button under the article and as a link in the email.
    SysAdmins only Only system administrators see the article, and only they get the email. For system administrators only.
    Companies The companies the article is for. Only users with access to a chosen company see it and get the email. You must choose at least one, unless you are a system administrator: then choosing none makes it an article for every company.
  3. Select Post.

TrakIT posts the article and emails it straight away. The footer of the form says who gets the email: Emailed to everyone who receives news updates, or to the system administrators for an article for SysAdmins only.

If you select Cancel, what you typed stays in the form until you post it or leave the page.

The email goes to every user who:

  • has News Updates turned on in their user record;
  • is not locked and is not a user of the external portal;
  • has access to one of the article’s companies, if it has any. System administrators get it whatever the article’s companies.

For an article for SysAdmins only, it goes to the system administrators who have News Updates turned on.

Message What to do
Give the article a title or The article has no text Fill in Title and Article.
The link must be an https:// address Correct the link, or leave Link empty.
Choose at least one company Select one or more companies.
Title can not be Numeric Use words in the title.
Specified URL is invalid Check the link: it can’t contain spaces, quotes or < and >.

A system administrator can pin an article to keep it at the top of the page:

  • Select the pin icon (Pin to the top) on the article.
  • To unpin it, select the filled pin icon (Unpin). The article goes back to its place by date.

Pinning an article that is already pinned moves it back to the top of the pinned ones.

  1. Select the bin icon (Delete article) on the article.
  2. In Delete Article, confirm.

The article disappears from the page for everyone. The emails already sent about it stay in people’s mailboxes.

A system administrator can delete any article. Other users can delete only the articles they posted themselves, if their role allows it.

Users of the external portal can’t open the News page. Other users need these permissions in the News section of their role:

Permission Allows you to
Read Open the page and read the articles.
Create Post articles, for the companies you have access to.
Delete Delete the articles you posted.

System administrators can do all of these without the permissions, and can also post articles for every company or for SysAdmins only, pin articles and delete any article.
