Using the mobile app
The mobile app is the version of TrakIT made for phones and tablets. It runs in your phone’s browser, and you can add it to your home screen so that it opens like an app. It is for company staff who work away from a desk, such as drivers, gate and yard staff, and operations people in the field: they follow jobs and work orders, keep their activities up to date and record yard moves on the spot.
A system administrator gives you the mobile app with the PWA access mode on your user, next to the Desktop access mode for TrakIT on a computer (the desktop). The mobile app is not the separate TrakIT app that a system administrator allows with the Mobile App access mode. See Who can use the mobile app.
This page explains how to open the mobile app, and what all its pages share: the home page, the menu, the Help icon, your user menu and the messages it shows.
Open the mobile app
Section titled “Open the mobile app”On a phone
Section titled “On a phone”- Open your company’s TrakIT address in your phone’s browser. It is the same address as on a computer.
- Sign in as usual. See Sign in.
TrakIT opens the mobile app’s home page. If you followed a link to a TrakIT page, that page opens instead. On a tablet, TrakIT may open the desktop: switch to the mobile app with the Mobile App icon, as below.
If you have added TrakIT to your home screen, open it from its icon. It opens on the home page, after the sign-in page if you are signed out.
From TrakIT on a computer
Section titled “From TrakIT on a computer”- Select the phone icon (Mobile App) in the top bar.
- In Switch to Mobile App?, select Yes.
The home page of the mobile app opens in the same tab. The icon appears only if your access includes the mobile app. See The top-bar icons.
If your access includes only the mobile app, TrakIT always opens it, on any device: a desktop page takes you to the mobile app’s home page instead.
The home page
Section titled “The home page”The home page greets you by your first name, for example Good morning, Maria, with today’s date below, for example Saturday, 31 October. It says Good morning until noon, Good afternoon until 17:00 and Good evening after that, in the time zone of your user record.
Below the greeting is a large tile for each page in your menu, with its icon and name. Select a tile to open its page. The tiles are two per row on a phone, more on a wider screen. The usual tiles are:
| Tile | Opens |
|---|---|
| Jobs | Jobs: the jobs of your workflows, and their work orders. |
| Activities | Activities: your tasks, calls and meetings. |
| Yard Ops | Yard operations: moves at the gate and in the yard. |
Your installation can have other tiles, added for its own work, and its own names for them. An item that is switched off in the menu has no tile.
If you have no tiles, the page says No app pages have been made available to you yet. Please contact your TrakIT administrator. Ask a system administrator to give you the pages you need: see Who can use the mobile app.
Desktop App, at the bottom of the home page, opens the desktop. See Switch to the desktop.
To come back to the home page from any page, select the TrakIT logo at the top left, or Home in the menu.
The menu
Section titled “The menu”The menu lists Home, then the same pages as the home page’s tiles, each with its icon:
- On a phone or tablet, or in a window less than 1,200 pixels wide, the menu is folded away. Select the menu button (three lines) next to the logo to open it, and again to close it.
- In a wider window, the menu is always on the left. The menu button hides it, and shows it again.
Select a page to open it. A grey item is switched off for your installation and does nothing.
If your access also includes the desktop, the menu ends with [ Desktop App ], below a line. See Switch to the desktop.
The pages in your menu are set by the PWA part of Menu Access, on your roles and on your user record. See Menu Access for roles and Menu Access for a user. Hiding a page only removes it from the menu and the home page: each page still checks your permissions when it opens, and a link can still open a page your role allows.
Select the question mark icon (Help) at the top right of every page, left of the person icon, to open the help for the page you are on: for example Jobs on the Jobs page, or this page on the home page. The help opens in a separate tab or window, so the page you were on stays open.
Your user menu
Section titled “Your user menu”Select the person icon at the top right of every page to open your user menu. On a wider screen, from 768 pixels, your name follows the icon.
Change Password
Section titled “Change Password”Select Change Password to open the Change Password page, which opens on its own, without the mobile app’s menu. See Change your password.
After the change, Continue takes you to your start page: the mobile app’s home page if your access includes only the mobile app, otherwise your start page on the desktop, where the Mobile App icon brings you back.
Toggle Dark Mode
Section titled “Toggle Dark Mode”Select Toggle Dark Mode to switch the mobile app to light text on a dark background, or back. The icon next to it shows a moon while the light colours are on, and a sun while the dark ones are on.
TrakIT saves your choice in your user profile, so it applies the next time you open TrakIT, on your phone and on a computer.
Install App
Section titled “Install App”Select Install App to add TrakIT to your phone’s home screen, then follow the steps your phone shows. TrakIT then opens from its icon, on the home page, without the browser’s address bar.
Install App appears only when your browser can install TrakIT, and on an iPhone, where it shows the steps to follow in Safari. It does not appear when you opened TrakIT from its icon. See Phones and the mobile app.
Sign Out
Section titled “Sign Out”Select Sign Out to sign out of TrakIT. The sign-in page opens. Signing out also turns off Keep me signed in on this browser.
Switch to the desktop
Section titled “Switch to the desktop”If your access also includes the desktop, select [ Desktop App ] at the end of the menu, or Desktop App at the bottom of the home page. Both open the Operations > Jobs page of the desktop, with its full menu, in the same tab. To come back, select the Mobile App icon in its top bar.
Neither appears if your access includes only the mobile app.
How jobs, work orders and activities open
Section titled “How jobs, work orders and activities open”- A record opens in the same tab: a job from the Jobs list, a work order from its job, and an activity from the Activities list.
- The arrow button at the top left of a record goes one level up: from a work order to its job, from a job to the Jobs list, and from an activity to the Activities list. Your browser’s back button works too.
- A work order number on a yard move, for example on Gate in, opens the work order in a separate tab or window, so the move stays open. If that work order is already open in such a tab, TrakIT switches to it and reloads it, instead of opening the work order a second time.
For what each page does, see Jobs, Job, Work order and Activities.
Pages that open when you sign in
Section titled “Pages that open when you sign in”As on a computer, TrakIT may show a page before your usual one when you sign in. See After you sign in.
- Time Zone Change opens inside the mobile app, with its menu, when you sign in on a phone or your access includes only the mobile app. Select Yes, Change It or No Thanks: TrakIT then opens the page you were going to, or the mobile app’s home page. See Time zone check when you sign in.
- Set Up Authenticator, if your user needs an authenticator app that is not set up yet. See Set up an authenticator app.
- Change Password, if your password has expired. It opens on its own, without the mobile app’s menu, and every page of the mobile app brings you back to it until you change your password. See When your password expires.
Messages
Section titled “Messages”When a page cannot open
Section titled “When a page cannot open”When you open a page that your role does not allow, or a record that does not exist, the mobile app shows the error inside the app, for example Authorization Failed. Select Back to return to the page you came from, or Home for the home page. See In the mobile app.
Page Not Found means the address does not lead to a TrakIT page: The page you asked for does not exist. If you followed a link, please let TrakIT Support know. It shows inside the mobile app when your access includes only the mobile app, when the address or the page you came from belongs to the mobile app, or when you are on a phone. Select Back or Home. See Page not found.
Notifications
Section titled “Notifications”The result of what you do appears in a box at the top of the page: green when it worked, for example Activity created, and yellow when it did not, with the reason. The box closes by itself after 5 seconds, or when you select its cross.
Update warning
Section titled “Update warning”A yellow warning at the top of every page, This TrakIT installation has not been updated for followed by a number of days, means that your company’s TrakIT installation is due for an update. It gives the date from which nobody can sign in unless TrakIT is updated, and whom to tell: do so.
The line at the bottom of every page shows the TrakIT build, which helps if you report a problem.
Connection
Section titled “Connection”The mobile app needs an internet connection for every page and every change. It does not work offline, and it does not keep changes to send later. If the connection drops, what you were doing fails with a notification, for example Unable to reach the server: try again once you are back online.
Who can use the mobile app
Section titled “Who can use the mobile app”- The PWA access mode. A system administrator gives it on User Access. New users have it. If your access does not include it, the mobile app’s addresses take you to the desktop.
- Menu items. The pages you see in the menu and on the home page come from the PWA part of Menu Access on your roles and your user record: see The menu.
- Permissions. Each page needs the permissions of its section in your role, for example Read in Activities for the Activities page. Each page’s help says what it needs.
The mobile app is for company staff only. External users, such as customers and transporters, use the external portal instead: the mobile app’s addresses take them there.
