Form code reference
A form or a message template is text or HTML with codes in it. When TrakIT generates the document or sends the message, it replaces each code with a value: the container number of the work order, the date of an event, the total of an invoice. This page lists the codes, says what each one gives, and in which kinds of form and message it works.
In the app, the ? button (Code Reference) of a form opens the Form Code Reference popup, with the codes of that kind of form: see Code reference. To write a form step by step, see Setting up document templates.
How codes are written
Section titled “How codes are written”There are four kinds of code:
| Kind | Written | Example |
|---|---|---|
| A value read from the work order or another record | %%%, a type digit, a comma, a name, then ; |
%%%0,CONTNUM; |
| A value of the document, or a fixed value such as today’s date | The name between ## and ## |
##INVNUM##, ##DATE## |
| A number in words, or a translated word | Between {{ and }} |
{{WORDS:150}} |
| The name of an event or data field of the workflow | Between [ED: and ] |
[ED:DEL:NAME] |
- Write the codes in capitals, as on this page. The type digit says what the name is:
0a header field,1an event,2a data field,4an account,5an asset,6a link or QR code,7a document,8the user,9an entity. - Many
%%%codes take a format after|, before the;: a date pattern such asdd MMM yyyyorHH:mm, or a number pattern such as#,##0.00. For example%%%1,ETA|dd MMM yyyy;. - A
%%%code must end with;on the same line. Without it, TrakIT leaves the text as you typed it, so you can see the mistake in the document. - A name TrakIT does not find, such as a misspelled column or an event the workflow does not have,
gives nothing. A
##code that is misspelled, or that does not belong to the kind of form, stays in the document as typed. A%%%code with no comma, such as%%%LOOP;where repeating blocks do not work, gives Undefined.
Where codes work
Section titled “Where codes work”Each kind of form fills in its own set of codes:
| Form or message | Gets its values from | Codes |
|---|---|---|
| Work order form | The work order. | Work order codes, items, common codes, form numbers, company codes. |
| Job form | Each work order of the job in turn, inside the repeating block; outside it, the first one. | As a work order form, plus the repeating block and job totals and the document checklist. |
| Report form | The rows of an advanced report. | Report form codes only. |
| Invoice, debit note, credit note, invoice document | The invoice, and the work orders of its job (with no job, those on its lines). | Invoice codes, plus the work order codes, repeating block, job totals, items, document checklist and company codes, as in a job form. |
| Bill | The bill, and the work orders of its job. | Bill codes, plus the work order codes, repeating block, job totals, items, document checklist and company codes, as in a job form. |
| Quotation | The quotation. | Quotation codes, common codes. No work order codes. |
| Receipt voucher, payment voucher | The receipt or payment. | Voucher codes, common codes. No work order codes. |
| Yard form | The yard move, and its work order. | Yard codes, work order codes, common codes. |
| Message template | The work order of the event or data field. | See Message templates. |
The header and the footer of a form take codes too, but only on work order, job, invoice and bill forms: see Header and footer.
Work order codes
Section titled “Work order codes”These codes read one work order: the work order of a work order form; in a job form, each work order in turn inside the repeating block and the first one outside it; for an invoice or a bill, the work orders of its job, the same way; for a yard form, the work order of the move; for a message, the work order of the event or data field.

For the other details of an entity, such as the shipper’s phone number, use the entity codes.
Entities
Section titled “Entities”%%%9,ROLE-COLUMN; gives a detail of one of the work order’s entities. ROLE says which entity:
| Role | Entity |
|---|---|
CONTCUS |
The customer. |
SHIPPER |

CURRCODE and REMARKS, because the job and the work order have columns of the same name: without
it, the code gives {Err}.
%%%9,ROLE-ENTDATA-CODE; gives the value of one of the entity’s
data fields, by its code, for example
%%%9,CONTCUS-ENTDATA-CRDAYS;. A format can follow after |. The older codes %%%9,CUSTIN;,

Dates and times are in the local time of the user who generates the document. %%%1 and %%%2 read
the same way, so either one works for an event or a data field. An event or data field the workflow
does not have gives nothing.
Accounts, assets and the user
Section titled “Accounts, assets and the user”| Code | Gives |
|---|---|
%%%4,CODE; |
The total of the job’s actual amounts (not estimates) on the account with that account code, in the base currency, such as %%%4,CHARGES;. Empty in a work order form. |

%%%8,UDV-CODE; |
The value of one of the user’s data fields, such as %%%8,UDV-DOB;. |
The %%%8 codes give nothing when no user generates the document, for example in a message sent by a
workflow action.
Links and QR codes
Section titled “Links and QR codes”| Code | Gives |

%%%ITEMSTART; … %%%ITEMEND; marks a block that is repeated for each
item of the work order. Inside it:
| Code | Gives |
|---|---|
##NUM## |
The item’s number in the list: 1, 2, 3 and so on. |
%%%ITEMCODE;, %%%ITEMNAME; |

%%%WEIGHT;, %%%VOLUME; |
The weight and the volume. |
%%%HSCODE; |
The HS code. |
%%%SERIAL; |
The serial number. |
%%%REFERENCE;, %%%REMARKS; |
The reference and the remarks. |
%%%FULLNAME; |
The name of the user who added the item. |
Only item codes work inside the block: any other %%% code there, or a name that is not one of the
item’s, turns the whole block into {Error}. Outside the block:
| Code | Gives |
|---|---|
##TOTALITEMQTY## |
The total quantity of the work order’s items. |
##TOTALITEMWEIGHT##, ##TOTALITEMVOLUME## |
Their total weight and volume, from the weight and volume of each item in the item list. |
Items work in work order and job forms, and in invoice and bill forms. In a job form, a block inside the repeating block lists the items of each work order; outside it, those of the first one.

Section titled “Document checklist”| Code | Gives |
|---|---|
##CHECKLISTFULL## |
A table of the job’s document checklist: each document and its status. |
##CHECKLISTPENDING## |
The same, with only the documents still outstanding: Pending, Partial, Incorrect, Requested, Have Draft, Have Telex and Need Stamp, and Have Copy where the original is required. |
The checklist codes work in job forms, invoice and bill forms, and message templates, not in work order forms.
Job forms: the repeating block
Section titled “Job forms: the repeating block”In a job form, %%%LOOP; … %%%END; marks a block that is repeated for each work order of the job
that is not cancelled, in the order of their IDs, or for those the form’s filter keeps. One element of
the block must have the data-id ##WOID##, or TrakIT refuses to save the form: see
The form editor.
| Code | Gives |
|---|---|
%%%LOOP|,; |
Starts the block, and puts the text after | (here a comma) between the repeats. Job forms only. |
##SERIAL## |
Inside the block, the work order’s number in the list: 1, 2, 3 and so on. |

##NUMALL## |
How many work orders the block has. |
##FIRSTWO## |
The ID of the first work order. |
##TOTALWEIGHT##, ##TOTALVOLUME## |
The total weight and volume of the work orders. |
A second %%%LOOP; … %%%END; block is repeated the same way. The repeating block and the totals
also work in invoice and bill forms, over the work orders of the invoice’s or bill’s job, and in a
message template that has a repeating block.

Message templates
Section titled “Message templates”A message template sent by an action of an event
or data field takes the work order codes, the document checklist,
the repeating block and job totals (with a plain %%%LOOP;), {{WORDS:...}}, the
##SQL codes and the date and user codes of the common codes. It does not take
items, form numbers, company codes, query reports or translations. The action has no user, so
##USERNAME## gives System and the %%%8 codes give nothing. The work order codes and the
common codes also work in the subject of an email action, and in a plain message typed on the action.
A message template can also be the Message Template of a print form, used as the body of the email when the document is emailed, for example an invoice or a quotation. It then takes the codes of that kind of form.
A message template used as the Email Template of a query report or an advanced report is sent as it is: its codes are not replaced.
