Delay tracking

The Delay Tracking page lists the containers whose time out is being tracked, for example between discharge and the return of the empty container. For each container it shows the free days, the days used so far and the charges for the days beyond the free days.

To open it, select Operations > Delay Tracking. For totals by workflow, see Delay Tracking Statistics.

A workflow sets which events start and stop tracking, for each tracking type such as demurrage or detention. TrakIT checks for these events every 5 minutes, so a container appears on the list, or exits it, a few minutes after the event is recorded.

  • Start: a container is added when its work order records a start event, if the work order is active or abandoned, has a container number and size, and is not a shipper-owned container. It is added once per tracking type.
  • Stop: a container exits when any work order with the same container number records a stop event of the same tracking type. That work order and its event date become the Exit WO and Exit Date.
  • If the work order is cancelled, its containers that have not exited are removed from the list.

When a container is added, TrakIT copies its free days and rates from the workflow’s delay cost definitions. It uses the definition that matches the container’s tracking type and size, and, if the definitions set them, its carrier, ISO type, job type and service. When several match, the most specific one is used. If none matches, the container gets the workflow’s default free days and no rates.

These values are copied once. Later changes to the workflow’s definitions reach containers already on the list only if the definition is saved with Apply to Active Containers in Tracking List.

  • Actual Days counts from the entry date to the exit date, or to today if the container has not exited. The entry day is day 1.
  • Days beyond the free days are chargeable. Actual Days turns red from the first chargeable day.
  • Charges apply each slab in turn: the first slab’s days at the first rate, then the next slab, and so on. Days left after the last slab are charged at the Thereafter rate.

For example, with 5 free days, slab days 7,7,7, slab rates 10,20,40 and a thereafter rate of 50, a container on day 30 has 25 chargeable days: 7 × 10 + 7 × 20 + 7 × 40 + 4 × 50 = $690.00.

If the thereafter rate is 0, no charges are shown, even if the slab rates are filled in.

If you have more than one workflow group, select a tab to see one group, or All.

  1. Set the filters.
  2. Select Search.

TrakIT remembers your filters and your tab. Reset clears the filters.

Filter Finds
Container Containers whose number contains the text.
Customer Containers whose entry job’s customer name contains the text.
Entry WO Status Containers whose entry work order is Open or Closed, or any status.
Include Exited Also shows containers that have exited. By default only containers still being tracked are shown.
With Rates Only containers with a thereafter rate.
Tracking Type, Workflows, Services, Carrier The tracking types, workflows, services and carriers of the entry work orders to include.

Total shows the number of containers found. The list shows 20 per page; select the Entry WO heading to sort by it.

Tracking Type The tracking type.
Container The container number and size, for example ABCD1234567-40'.

Remarks Remarks.

To download all the containers that match your filters as an Excel file, select Export.

  1. Point to the menu icon at the end of the container’s row.
  2. Select Modify.
  3. In Edit Container, change what you need:
    • Free Days: fewer than 1000.
    • Exit WO / Date: to exit the container by hand, enter the exit work order and date. The work order must have the same container number, and the date must be after the entry date and not in the future. Clear both to track the container again.
    • Remarks: up to 500 characters.
    • Slab Days and Slab Rates: separated by commas, for example 7,7,7 and 10,20,40, with the same number of values in each. Each slab is 1 to 99 days, and each rate 1 to 999 per day.
    • Thereafter: the rate per day after the last slab.
  4. Select Save.

The entry date cannot be changed. If you clear the exit while a stop event exists for the container, TrakIT exits it again at its next check.

  1. Point to the menu icon at the end of the container’s row.
  2. Select Delete.
  3. In Confirm Delete Container, select Delete.

If the entry work order is still open with its start event recorded, TrakIT adds the container again at its next check, with new free days and rates. To stop tracking such a container, enter its exit instead.

Users can receive a daily Delay Notification email that lists the containers whose free days are about to run out, or have run out, with an Excel attachment. It is sent every day until the container exits. Administrators choose who receives it for each workflow, and each user can choose when to be warned under System > Notifications, on the Free Days tab.

Your role needs these permissions in the Delay Tracking section:

Permission Allows you to
Read Open the page.
Update Change containers.
Delete Delete containers.
Export See Export.

You see the containers whose entry work order is in a workflow you have access to.
