The sign-in page opens when you go to TrakIT’s web address and are not signed in yet. It is the same page on a computer and on a phone, and for users of the external portal.
Which ways of signing in the page offers is set for your TrakIT installation by TrakIT Support, so you may not see all of the ones on this page.
Ways to sign in
Section titled “Ways to sign in”| Way | What you need |
|---|---|
| User ID or email and password | Your TrakIT user ID, or the email address on your user record, and your TrakIT password. See Sign in with a password. |
| Sign in with Google | A Google account with the same email address as your TrakIT user. See Sign in with Google or Microsoft. |
| Sign in with Microsoft | A Microsoft work or school account with the same email address as your TrakIT user, from an organization set up for your installation. See Sign in with Google or Microsoft. |
| Sign in with Passkey | A passkey you have registered in TrakIT. See Sign in with a passkey. |
| Windows | Some installations on a company network sign you in with your Windows account, with nothing to type. See Windows sign-in. |
Whichever way you use, your TrakIT user must have an email address, must not be locked, and must be allowed to sign in from a web browser. If your user has two-factor authentication, TrakIT then also asks for a one-time code. See Two-factor authentication.
Sign in with a password
Section titled “Sign in with a password”- In User ID or Email, type your TrakIT user ID or the email address on your user record.
- In Password, type your password.
- To stay signed in on this browser, select Keep me signed in. See Keep me signed in.
- Select Sign In, or press Enter.
TrakIT changes a user ID to capitals and an email address to lower case, so their case does not matter. Your password is case-sensitive: while Caps Lock is on, the page shows Caps Lock is on! under it.
When your TrakIT user is created, TrakIT can send you your user ID and a first password by email, with the subject Your Account is Ready. After you sign in for the first time, you can replace that password with one of your own: see Change password.
If you have forgotten your password, select Lost Password?. See Reset a forgotten password.
Sign in with Google or Microsoft
Section titled “Sign in with Google or Microsoft”- Select Sign in with Google or Sign in with Microsoft.
- In the Google or Microsoft window that opens, choose your account, and sign in to it if asked.
TrakIT signs you in as the TrakIT user whose email address is the email address of that account. If no TrakIT user has it, the page shows User ID / Email or Password is incorrect.
- Sign in with Microsoft accepts only work or school accounts of the organizations set up for your installation. If you are already signed in to Microsoft in this browser, the button shows Sign in as with your name and email address.
- Both buttons open a window of their own, so your browser must allow pop-ups for TrakIT, and your network must allow Google’s or Microsoft’s sign-in site. See Browser support.
Sign in with a passkey
Section titled “Sign in with a passkey”A passkey lets you sign in with your fingerprint, your face or your device’s PIN, instead of a password. You first register one, after signing in another way: see Passkeys.
- Select Sign in with Passkey.
- Follow your browser’s prompts: choose the passkey, then confirm with your fingerprint, face or PIN.
You do not type your user ID: the passkey tells TrakIT who you are.
- Sign in with Passkey appears only in a browser that supports passkeys.
- A passkey works only on the TrakIT web address where you registered it.
- Passkey not recognised. Please sign in with your password. means TrakIT has no passkey that matches the one you chose. It may have been deleted from TrakIT, or registered on another web address. Sign in another way, and register the passkey again.
- Sign-in session expired. Please refresh the page and try again. means the sign-in page was open too long, or was reloaded during sign-in. Reload the page and select Sign in with Passkey again.
Windows sign-in
Section titled “Windows sign-in”On an installation set up for Windows authentication, TrakIT signs you in with the Windows account you are signed in to on your computer. TrakIT looks for the user ID that matches your Windows user name, without its domain. There is no user ID or password to type, no Keep me signed in and no Sign Out icon.
If TrakIT cannot sign you in this way, the sign-in page shows NTLM Authentication with a message to contact your local administrator or TrakIT Support. If it names your Windows user (Logon_User), select Try Again to try once more.
Two-factor authentication
Section titled “Two-factor authentication”With two-factor authentication, TrakIT asks for a one-time code (OTP) each time you sign in, after your password or other sign-in. This applies to every way of signing in, including Keep me signed in.
An administrator turns it on for your user, in Two Factor Auth on your user record:
| Two Factor Auth | Where the code comes from |
|---|---|
| None | No code is asked for. |
| An email from TrakIT, with the subject Login OTP: followed by the code. | |
| SMS And Email | The same email, and a text message to the mobile number on your user record. |
| TOTP | An authenticator app on your phone. See Set up an authenticator app. |
To enter the code:
- Sign in as usual. The Verify OTP panel opens.
- In Enter OTP, type the code from the email, text message or authenticator app.
- Select Submit, or press Enter.
A code sent by email or text message is valid for 10 minutes. If it has not arrived, select Re-send in the panel to get a new one; only the newest code works. A code from an authenticator app changes every 30 seconds: type the one the app shows now.
To go back to the sign-in fields without signing in, select ◀ Back to Login.
| Message | What to do |
|---|---|
| The OTP entered did not match | Check the code and type it again. For an authenticator app, check that your phone’s clock is set automatically: a phone with the wrong time shows codes TrakIT does not accept. |
| The OTP entered has expired. Please try to resend the OTP. | Select Re-send and use the new code. |
| Five unsuccessful attempts made. Try again after 30 minutes. | Wrong codes count with wrong passwords: after five within 30 minutes, TrakIT accepts no code for your user, not even the right one, and signing in again does not change that. Wait 30 minutes, then sign in again. |
If your Two Factor Auth is TOTP and you have not set up your authenticator app yet, TrakIT opens Set Up Authenticator as soon as you sign in, instead of asking for a code.
Keep me signed in
Section titled “Keep me signed in”When you select Keep me signed in and sign in, TrakIT saves a cookie in this browser. For the next 30 days, opening TrakIT in this browser signs you in without asking for your password. If your user has two-factor authentication, TrakIT still asks for a code each time.
- Selecting Sign Out in TrakIT removes the cookie, and you sign in as usual next time.
- When your password changes, by you or by an administrator’s reset, Keep me signed in stops working in every browser: sign in with the new password, and select it again if you want it.
- Do not select Keep me signed in on a computer that other people use.
- Keep me signed in does not appear on every installation.
After you sign in
Section titled “After you sign in”Before your usual page, TrakIT may open one of these first:
- Set Up Authenticator, if your user needs an authenticator app that is not set up yet. See Set up an authenticator app.
- Time Zone Change, if your device’s time zone differs from the one on your user record. See Time zone check when you sign in.
- Change Password, if your password has expired. See When your password expires.
Then TrakIT opens:
- the page you were trying to open, if you followed a link to TrakIT while signed out. The sign-in page then shows Login Required and Please login to continue;
- otherwise your start page, or the mobile app if you signed in on a phone and can use it. See Opening pages. Users of the external portal go to the portal.
If you open the sign-in page while you are signed in, TrakIT takes you straight to your start page.
When TrakIT signs you out
Section titled “When TrakIT signs you out”TrakIT shows a message on the sign-in page when it has signed you out:
| Message | Why |
|---|---|
| Signed Out: You were signed out because your account was accessed from another location or browser. | Your user signed in somewhere else. You can be signed in on several browsers at once only if they share the same internet connection. If you did not sign in elsewhere, change your password and tell your system administrator. |
| Session Expired: Your session has ended. Please sign in again to continue. | Your session ended while a page was open, and the page needed it. Sign in again. |
A system administrator can also end your session, by taking away your Desktop and PWA access modes on Admin > SysAdmin Pages > User Access. The next page you open then takes you back to the sign-in page.
Your sessions also end, everywhere at once (other browsers, the separate TrakIT app and any API sign-ins), when:
- your password is changed: the browser or app you change it in stays signed in, the others are signed out. Setting a new password with a reset link signs you out everywhere;
- an administrator resets your password;
- an administrator locks or unlocks your user.
The next page you open in a browser that was signed out takes you back to the sign-in page.
If you can’t sign in
Section titled “If you can’t sign in”| Message | What it means and what to do |
|---|---|
| Missing Credentials: Both ID/Email and Password are required | Type both your user ID or email and your password. |
| User ID / Email or Password is incorrect | The user ID, email address or password is wrong, or, for Google or Microsoft, no TrakIT user has that account’s email address. Check what you typed, or select Lost Password?. |
| Five unsuccessful attempts made. Try again after 30 minutes. | After five failed attempts within 30 minutes, TrakIT does not accept more attempts for that user ID or email address for a while. Wait 30 minutes, then try again. |
| User account is locked | Your user is locked. An administrator may have locked it, or TrakIT locked it because you had not signed in for longer than your company allows (Idle User Lock on the company). TrakIT emails you an Inactive Account Warning during the last days before that happens. Ask an administrator to unlock your user. See the General FAQ. |
| Sign In Permission Denied | Your user record has no email address. Ask an administrator to add one. |
| User account not permitted to logon | Your user is not allowed to sign in anywhere. Ask an administrator. |
| User account is not permitted to sign in from a web browser | Your access modes include neither Desktop nor PWA. Ask a system administrator if you need TrakIT in a web browser. |
| Sign-in is disabled because this TrakIT installation has not been updated in the last 90 days. Please contact your system administrator. | Your TrakIT installation is too old to accept sign-ins. Tell your system administrator. In the 15 days before this happens, the sign-in page shows a warning with the date. |
| User Hash verification failed | Your user record failed an integrity check. Contact TrakIT Support. |
To unlock a user, an administrator needs Lock User in the User Management section of their role. Whether you may sign in from a web browser, the separate TrakIT app or other channels is set by a system administrator, with your access modes on Admin > SysAdmin Pages > User Access: Desktop (TrakIT on a computer), PWA (the mobile app, in a phone’s browser), Mobile App (the separate TrakIT app), API (other systems, through TrakIT’s API) and AI.
If you don’t have a TrakIT user yet, select Request Access on the sign-in page. See Request access.
If TrakIT shows TrakIT is currently offline, nobody can use your installation until TrakIT Support brings it back: see TrakIT is offline. For Non-supported Browser, User Not Authorized and the other screens TrakIT can show instead of a page, see Access denied.
The rest of the sign-in page
Section titled “The rest of the sign-in page”- Request Access opens a form to ask the system administrators for a TrakIT user. See Request access.
- Lost Password? sends you a link to reset your password. It appears only if you can sign in with a password. See Reset a forgotten password.
- The footer has links to Help, Blog, Support, WA Channel and Terms of Use, on wider screens, and the build number and date of your TrakIT installation.
- If your installation has the support chat turned on, its chat widget appears on the sign-in page too.
