Bulk update

The Bulk Updates page changes existing work orders from an Excel file. TrakIT applies only the cells you colour yellow, imports the file in the background and emails you the results. It does not create work orders or change their services: to create work orders, use Bulk create.

To open it, select Operations > Bulk Operations > Bulk Update. You can also email the file to TrakIT: see Send a bulk update file.

  1. On the Jobs page, find the work orders, select By Work Order, then export them with the fields you want to change. You can also make your own file.
  2. In Excel, change the values, and set the background of every changed cell to standard yellow.
  3. Save the file.
  4. On the Bulk Updates page, choose the file under MS-Excel File Upload.
  5. Select the options you need.
  6. Select Upload.

When TrakIT has accepted the file, it shows File upload successful.. The results arrive by email when the update is done.

  • The file must be an Excel .xlsx or .xlsm file of 2 MB or less. TrakIT reads the first visible worksheet.
  • The first row holds the headings. Do not change the headings of an exported file.
  • Only cells with the standard yellow background are applied. Other cells are ignored, so you can leave unchanged values in the file.
  • A file can have up to 10,000 rows and 10,000 yellow cells.

The first column says which work orders each row changes:

First column heading The row changes
WorkOrder ID, WOID or ID That work order.
Your company’s job reference label, or JOB Every work order of the job, except cancelled ones.
Container, Container No., Container Number or CONTNUM The latest active or abandoned work order with that container, in your workflows. To look in one workflow only, add a column headed Workflow with the workflow’s name.

Closed and cancelled work orders are not changed: the results list them.

A column headed with a field’s code or name changes that event or data field. To change the remarks of an event or data field, add ~Remarks to the heading, for example ETA~Remarks.

For events and dates, use Excel dates. TrakIT reads dates in your time zone.

Columns headed with a header field’s name change that field, for example Priority, Commodity, Weight or Seal Number. Most header fields change only if you select Overwrite existing data, unless they are empty. Priority can be 1 to 6 or its name, such as High.

The job reference itself cannot be changed.

Option What it does
Ignore event sequence Records events even when earlier events of the work order are empty.
Overwrite existing data Replaces values that are already filled in. Without it, only empty or TBA values change.
Allow overwriting with blanks Lets a yellow empty cell clear a value. It is available only with Overwrite existing data.

Each option needs its own permission in the Bulk Updates section: Ignore Event Sequence, Overwrite Existing Data or Overwrite With Blanks.

The email Bulk Update Result counts the unchanged values and the successful updates, and lists the errors by row and work order. The attached _Results.xlsx file adds a Status and a Remarks column to the rows of your file. Status is Success, Error, No Data Change. or No Yellow Highlighted Cell.

Your role needs:

Section Permission
Bulk Updates Upload, and Ignore Event Sequence, Overwrite Existing Data and Overwrite With Blanks for those options
Work Orders Update to change header fields, and Update Events & Data to change events and data

You can change only the work orders you can see.
