Gate out
The Gate Out screen of the mobile app records a container, or a truck, leaving the yard by truck: the truck that takes it, its work order and photos. When the gate-out is carried out, the container leaves the yard.
To open it, on Yard operations, open the Gate tab and:
- select Truck Out to record a new gate-out, or
- select a planned gate-out to complete it or carry it out.
The screen shows the yard’s name next to its title. The arrow icon (Back), with the buttons at the top right, returns to Yard Operations without saving. For containers leaving by train, use Rail in / out. What TrakIT does when a gate-out is carried out is described in Running a yard.
Record a gate-out
Section titled “Record a gate-out”- Choose the container or truck in Container/Truck. Type part of its number to search the list.
- Check Full/Empty and Direction: TrakIT takes them from the container’s last move. Choose the Direction only if TrakIT asks for it: see below.
- Check the Work Order Information box.
- Choose the Zone, and enter the Vehicle number and the other details you need.
- Add photos, if you need them.
- Select Execute, and confirm.
TrakIT says Move executed successfully and returns to Yard Operations. If forms are set to be generated automatically for gate-outs in this yard, it opens the move’s Files tab instead, and opens the newest document to print.
To keep the move as planned instead, for example to prepare a gate-out before the truck arrives, select Save. TrakIT says Move saved successfully and keeps the move open. The move then waits on the Gate tab until someone carries it out.
Move Details tab
Section titled “Move Details tab”The Move Details tab holds the move itself. Direction, Full/Empty, Work Order Information and Photos appear once you have chosen the container.
| Field | What to enter |
|---|---|
| Container/Truck | The container, or the truck, leaving the yard. The list offers the containers and trucks in this yard, with their length or type, for example ABCU1234560 - 40. Once chosen, the copy icon (Copy Number) copies its number. |
| Direction | Import, Export or Other, taken from the container’s last move. You can choose it only for a full container whose last move had no direction; then it is required. An empty container has none. |
| Full/Empty | Full or Empty, taken from the container’s last move. You cannot change it here. |
| Zone | A zone of the yard, recorded on the move. The first zone of the list is chosen to start with. |
| Vehicle | The number of the truck that takes the container, up to 20 characters. Required, also to save the move as planned. If you chose a truck in Container/Truck, TrakIT fills in its number. |
| Trailer, Driver, CMR, Reference | The trailer number, the driver’s name, the CMR (road consignment note) number, and your own reference. Up to 100 characters each. |
| Data fields | The yard move data fields your company has set up for all move types: see Data fields. |
| Remarks | Any remarks, up to 500 characters. |
When you choose a container rather than a truck, TrakIT clears Vehicle and Trailer, so that you enter those of the truck taking it out. It saves the vehicle, driver, CMR and trailer in capitals.
TrakIT copies the damage, grade and dirt status of the container’s last move onto the gate-out; this screen does not show them. To see or correct them, use the Yard move page on a computer.
On an executed move, the fields are read-only, and the top of the screen shows the Move ID, when the move was carried out and by whom. If it was cancelled since, a red line says by whom and when.
Work Order Information
Section titled “Work Order Information”When you choose the container, TrakIT looks for its work order, as on Gate in: the newest active or abandoned work order for the same container, in a workflow linked to this yard and that you have access to, whose workflow fits the direction. An empty container matches only Round Trip and Non-Shipment workflows.
The box is green when a work order is linked, and shows its ID (select it to open the work order in a new window), Workflow, Created date, job reference and operator (under your company’s name for that entity type, for example Carrier). Once the move is saved, the box also shows the work order’s header fields, which you can fill in if your role can update events and data and the work order is not closed or cancelled.
The box is yellow, with No matching Work Order found, when no work order matches. Carry on: a work order can be linked later on the desktop, see Link or unlink a work order. On an executed move without one, the box says No Work Order linked.
To remove the link, select the cross at the top right of the box (Unlink Work Order). On a saved move, this unlinks the work order straight away.
Photos
Section titled “Photos”Once you have chosen the container, you can add photos under Photos until the move is carried out, for example of the container’s condition as it leaves. How to take them, add them from your gallery or files, and remove them is described in Photos on a move. On this screen:
- The camera and gallery icons at the right of the tabs do the same as the tiles under Photos.
- In the camera view, a lightning icon (Flash) and a two-arrow icon (Switch camera) appear when your device supports them. Select Close to leave the camera without a photo.
- The photos you add stay while you fill in the rest of the move, and are saved when you select Save or Execute. If you leave the screen with the Back arrow, they are lost.
- Photos already saved with a planned move are not shown again on this screen until the move is carried out. On a computer, see the move’s Photos tab.
On an executed move, Photos shows the move’s photos. Select a photo to see it full size.
Files tab
Section titled “Files tab”The Files tab lists the documents of the move, generated from your company’s yard forms. It opens once the move is saved: on a new move, TrakIT says Please save the move before switching to the Files tab.
To generate a document:
- Choose the form in Forms. The list offers the yard forms set up for gate-outs in this yard (see Form definitions); if there is only one, it is chosen already.
- Select Generate.
The document is added to the list, as a PDF. Without a form chosen, TrakIT says Please select Form.
The list works as on Gate in: see Files tab. You cannot add or delete files here.
Delete a planned move
Section titled “Delete a planned move”- Open the planned move.
- Select the bin icon (Delete) at the top right, and confirm.
TrakIT deletes the move and returns to Yard Operations. An executed move cannot be deleted here: see Delete a move.
