SysAdmin pages

The Admin > SysAdmin Pages menu holds the pages for looking after your TrakIT installation as a whole: its settings, its data and how it is used.

Only system administrators see the SysAdmin Pages menu; for other users it is not shown at all. A system administrator is a user marked as one on their record, and only TrakIT Support can make a user a system administrator. See Who sets TrakIT up.

Hiding the menu is not the only protection: each page checks again that you are a system administrator when it opens, and other users who reach it see Authorization Failed. The one exception is Shared Links, which checks a permission instead, as its paragraph says.

Search name/code finds where a name, a code or a piece of text is used in your set-up: reports, event and data definitions and their actions, validations, forms, message templates, integrations and saved filters. Use it before you rename or remove something.

OAuth inbox (page heading Mailbox Authorisation) authorises TrakIT to read incoming email from a Gmail or Office 365 mailbox, with a tab for each.

Delete full job deletes a whole job permanently, with its work orders, documents, accounts and invoices, after checking that nothing approved depends on it. All system administrators are emailed about each deletion.

Translation cache lists the translations TrakIT keeps for documents generated in a language other than English, so that you can correct them.

Application settings holds the installation-wide settings a system administrator looks after: abandoned work orders, the KPI snooze limit, the name of the load ID, export limits, outgoing and incoming email, and the email domains of internal users.

Data retention policy shows how many months TrakIT keeps each kind of data before deleting it automatically, and when each deletion last ran. Only TrakIT Support can change the periods.

Report heatmap shows how many scheduled reports are due at each hour of each day of the week, so that you can spread report schedules out.

User statistics shows how TrakIT is used: sign-ins, active and new users, session lengths, the times, channels, browsers and places sign-ins come from, and the accounts nobody uses.

User access sets where each user may sign in, such as the web application, the separate TrakIT app, the API or AI assistants, and turns AI access on or off for your installation.

User files lists the files TrakIT saves on its server for troubleshooting, such as copies of messages exchanged with other systems, to download or delete them.

Validations & actions lists the validations and actions set up for your installation, section by section: checks that run before an operation on a record, and actions that run on records.

Shared links (page heading Share Links) lists the links TrakIT has issued to people without a TrakIT sign-in, for example to follow a work order, see an invoice or upload documents, so that you can revoke them. The page needs Manage Share Links in the Entity Management section, which system administrators always have.
