Gate in

The Gate In screen of the mobile app records a container, or a truck, coming into the yard by road: its seal, the zone it goes to, the truck that brought it, its condition and photos. TrakIT links the move to the container’s work order, and can put the container straight into a stack.

To open it, on Yard operations, open the Gate tab and:

  • select Truck In to record a new gate-in, or
  • select a planned gate-in to complete it or carry it out.

The screen shows the yard’s name next to its title. The arrow icon (Back), with the buttons at the top right, returns to Yard Operations without saving. For containers arriving by train, use Rail in / out. What TrakIT does when a gate-in is carried out is described in Running a yard.

  1. Choose Full/Empty. The other fields appear once you have chosen.
  2. In Cont./Truck, type at least two characters of the container or truck number, and choose it from the list. If it is not in the list, add it: see Add New Container.
  3. For a full container, choose the Direction: Import, Export or Other. If TrakIT has already found the container’s work order, it has filled in the direction for you.
  4. Check the Work Order Information box.
  5. Enter the seal number in Seal No.(s), or select the camera icon next to it to scan its barcode.
  6. Choose the Zone and enter the Vehicle number, then the other details you need.
  7. To put the container straight into a stack, tick Direct In-Stack and choose its position: see Direct In-Stack.
  8. Add photos, if you need them.
  9. Select Execute, and confirm.

TrakIT says Move executed successfully and returns to Yard Operations. If forms are set to be generated automatically for gate-ins in this yard, it opens the move’s Files tab instead, and opens the newest document to print.

To keep the move as planned instead, for example when you know a container is coming but it has not arrived yet, select Save. TrakIT says Move saved successfully and keeps the move open. The move then waits on the Gate tab until someone carries it out.

Save and Execute appear once you have chosen Empty, or Full and a direction.

If you change Full/Empty, TrakIT starts the selection again: it clears the container, the direction and the work order. Once a move is saved, Full/Empty and Direction cannot be changed; the container can be changed until the move is carried out.

The Move Details tab holds the move itself.

Field What to enter
Full/Empty Full or Empty. Required.
Cont./Truck The container, or the truck, coming in. The list offers the containers and trucks that are not in a yard; type at least two characters of the number to search. On a new gate-in, the plus icon (Add New Container) adds one TrakIT does not know yet. Once chosen, the copy icon (Copy Container) copies its number.
Direction For a full container: Import, Export or Other. Required.
Seal No.(s) The seal number or numbers, up to 100 characters. Appears once a container is chosen. Required to carry out the gate-in of a full container. TrakIT fills it in from the container’s last move, or from its work order, when it can.
Zone The zone of the yard the container goes to. The first zone of the list is chosen to start with.
Vehicle The number of the truck that brings the container, up to 20 characters. Required, also to save the move as planned. If you chose a truck in Cont./Truck, TrakIT fills in its number.
Trailer, Driver, CMR, Reference The trailer number, the driver’s name, the CMR (road consignment note) number, and your own reference. Up to 100 characters each.
Damage Any damage to the container, up to 100 characters.
Grade Grade A, Grade B or Grade C.
Dirty Unspecified, Sweep Required, HP Water Wash Required or Chemical Wash Required.
Data fields The yard move data fields your company has set up for gate-ins and for all move types: see Data fields.
Remarks Any remarks, up to 500 characters.

TrakIT saves the vehicle, seal, driver, CMR and trailer in capitals.

On an executed move, the fields are read-only, and the top of the screen shows the Move ID, when the move was carried out and by whom. If it was cancelled since, a red line says by whom and when.

When you choose the container, TrakIT looks for its work order: the newest active or abandoned work order for the same container, in a workflow linked to this yard and that you have access to. The workflow must fit the direction: an Import or Export workflow for that direction, or a Round Trip or Non-Shipment workflow, which fit any direction. An empty container, or one whose direction is Other, matches only Round Trip and Non-Shipment workflows. On some installations, the matching follows rules set up for that installation.

If you choose a full container before its direction, TrakIT looks at every workflow type and fills in the direction from the work order it finds. When you choose or change the Direction, TrakIT looks again, and may link another work order or none.

The Work Order Information box is green when a work order is linked. It shows:

Field Shows
ID The work order’s ID. Select it to open the work order in a new window.
Workflow, Created The work order’s workflow, and the date it was created.
Job reference The job reference of its job. The label is your company’s short name for it, for example T/D.
Transporter, operator The work order’s transporter and operator, if it has them. The labels are your company’s names for these entity types.

Under them are the work order’s header fields, those set to Display in Header in the workflow (see Event and data definitions). You can fill them in at the gate: they are saved on the work order when you save or carry out the move, if your role can update events and data and the work order is not closed or cancelled.

The box is yellow, with No matching Work Order found, when no work order matches. Carry on: a work order can be linked later on the desktop, see Link or unlink a work order. On an executed move without one, the box says No Work Order linked.

To remove the link, select the cross at the top right of the box. On a saved move, this unlinks the work order straight away.

Direct In-Stack puts the container into a stack position as part of the gate-in, so that you do not need a separate equipment move. It appears once a container is chosen, until the move is carried out.

  1. Tick Direct In-Stack.
  2. Check the Zone: the drawing under Position shows its stacks.
  3. Select the stack to put the container on. A dashed frame marks your choice.
  4. Select Execute.

TrakIT records the gate-in, then an executed In-Stack move that puts the container on the lowest free tier of the stack you chose. Direct In-Stack applies only when you select Execute: a move saved as planned stays a gate-in only.

How to read the drawing:

  • The rows are labelled R01, R02 and so on down the side, and the bays B01, B02 and so on across the top. Each box is a stack: a bay in a row.
  • A stack that holds containers shows the last five characters of the top container’s number, with its tier in brackets when it is above the ground, for example 34560 (2).
  • A 40-foot stack is twice as wide, and a 40-foot container needs two bays: its frame covers two bays.
  • Disabled positions are left blank and cannot be chosen.

In a zone with No Positioning, there is no drawing, and the container goes into the zone without a position. See Zones of a container yard.

If the stack is full, or you chose no stack, TrakIT says Position selection is required for In-Stack placement. If the position is taken, what happens depends on the yard’s Default Zone: see Warehouses & yards.

You can add photos of the container under Photos until the move is carried out. How to take them, add them from your gallery or files, and remove them is described in Photos on a move. On this screen:

  • Photos appears once you have chosen Full/Empty. The camera and gallery icons at the right of the tabs appear once you have chosen Empty, or Full and a direction.
  • In the camera view, a lightning icon (Flash) and a two-arrow icon (Switch camera) appear when your device supports them. Select the picture to focus, if your camera allows it. Select Close to leave the camera without a photo.
  • The photos you add stay while you fill in the rest of the move, and are saved when you select Save or Execute. If you leave the screen with the Back arrow, they are lost.
  • Photos already saved with a planned move are not shown again on this screen until the move is carried out. On a computer, see the move’s Photos tab.

On an executed move, Photos shows the move’s photos, or [No photos uploaded]. Select a photo to see it full size.

The camera icon next to Seal No.(s) reads a barcode or QR code on the seal with your device’s camera. It appears once a container is chosen, until the move is carried out.

  1. Select the camera icon next to Seal No.(s).
  2. If your browser asks, allow the camera.
  3. In Scan Barcode, point the back camera at the barcode.

When the code is read, the window closes, and the code replaces what was in Seal No.(s). Your phone may vibrate. To close the window without scanning, select the cross, or the area around it.

The scanner reads QR codes and the common barcode types, such as Code 128, Code 39, EAN, UPC and ITF. If the camera cannot start, TrakIT says Unable to access camera. and why, for example Please grant camera permissions. or Camera is already in use by another application.: see Features that use your browser or device.

If the container or truck is not in the Cont./Truck list because TrakIT does not know it yet, add it to the container master. You can do this on a new gate-in only.

  1. Select the plus icon (Add New Container) next to Cont./Truck.
  2. Enter the Container Number.
  3. Enter the Load Type, for example 45G1, or select the magnifying glass to choose it in Select Type.
  4. Select Save.

TrakIT adds the container and chooses it in Cont./Truck. If the number is already in the container master, TrakIT chooses that container. For a full container, TrakIT looks for its work order when you then choose or change the Direction.

TrakIT saves the number and load type in capitals, without spaces. The number must be a valid ISO container number: four letters and seven digits, the last one the check digit. This check is skipped for load types that are not ISO containers: TRCK (truck), WAGN (wagon), MAFI, RORO, OOGC, codes in square brackets such as [BB], and codes ending in SOC.

Message What to do
Container Number is required, Load Type is required Fill in both fields.
Container Number must be at least 3 characters long Check the number.
Container Number is not valid as per ISO Standard Check the number, including its check digit.
Number is not valid Use only letters, digits and hyphens.
Type Code is not valid, Container Type code is invalid Choose the load type with the magnifying glass.

Select Cancel to close the window without adding a container.

The Files tab lists the documents of the move, generated from your company’s yard forms. It opens once the move is saved: on a new move, TrakIT says Please save the move before switching to the Files tab.

To generate a document:

  1. Choose the form in Forms. The list offers the yard forms set up for gate-ins in this yard (see Form definitions); if there is only one, it is chosen already.
  2. Select Generate.

The document is added to the list, as a PDF. Without a form chosen, TrakIT says Please select Form.

The list shows the oldest file first, 10 per page. For each file:

  • the download icon (Download Document) saves it on your device;
  • the magnifying glass (Preview Document) opens it;
  • the printer icon (Print), on PDF files and pictures, prints it;
  • Title and Uploaded By show its title, and who added it and when.

On a wider screen, the list also shows the File Name, Type, Status, Expiry and File Size. You cannot add or delete files here: to manage a move’s files, use the Files tab of the Yard move page on a computer.

  1. Open the planned move.
  2. Select the bin icon at the top right, and confirm.

TrakIT deletes the move and returns to Yard Operations. An executed move cannot be deleted here: see Delete a move.
