Entity

The Entity page shows one entity: a customer, shipper, receiver, carrier, transporter, agent, bank or any other party your companies work with. It shows the entity’s details at the top, and tabs below for its documents, work orders, contacts, invoices, data, company settings and more. This is also where you change, approve or delete the entity.

To open an entity, select it on the Entity Management page, or select its name wherever TrakIT links to it. ◄ Entity Management takes you back to the list.

The heading says what you are doing and the entity’s type, for example View Customer Details. Entity type names are set up for your installation, so they may differ from the examples on this page.

  • Actions runs an action that your company has set up for entities, if there is one. TrakIT asks you to confirm first; actions cannot be undone.
  • Tags label the entity. To add one, type a tag of at least 3 letters or numbers, without spaces, in Add a Tag and press Enter; to remove one, select the cross next to it. You can search for entities by tag on the Entity Management page.

If the entity’s responsible company is not one of the companies you have access to, the page says Modifications not permitted as the responsible company is followed by its name. You can then see the entity, but not change, approve or delete it, issue its links, or change its documents, contacts, data fields, types, linked users, credit status or payment reminders. You can still change your own companies’ settings on the Per Company tab, apart from Tax Exempt, and its comments. Actions and tags are not available either. If you select an option that is still shown, such as the check icon or a link, TrakIT says You do not have the permission to change an entity of another company.

The box at the top shows the entity’s code and name, its local name in brackets, its country’s flag and its logo. Below the name:

  • Total WO Count: how many work orders the entity is on, in any role, in the workflows you have access to. System administrators see the count for all workflows.
  • Active, or Entity Disabled for a disabled entity.
  • Approved or Not Approved, if entities of this type need approval.

Fields for customers only appear on entities whose main type is the customer type. The Shipping Line (SCAC) field appears on carriers, whether carrier is their main type or an extra type.

Field Shows
Entity ID The entity’s number in TrakIT.
Group The customer group, if there is one.
Address The postal address.
Country The country.
Contact, Phone The contact persons and phone numbers.
Default Account, Currency The default account code and the base currency.
TIN, Registration The tax identification number and the registration number.
Shipping Line (SCAC) Carriers only: the shipping line the carrier is, or is an agency of.
Responsible Company The company responsible for the entity. Only users with access to it, and system administrators, can change the entity.
Default Profit Center The profit centre used for the entity by default.
Status Updates Customers only: whether the customer receives status update emails.
Responsible The user responsible for the entity.
WhatsApp Numbers The WhatsApp numbers.
Customer Group Customers only: the customer group, if there is one.
General Emails, Finance Emails, Management Emails The email addresses, as links. A set that is empty shows Not set - General is used.
Remarks The remarks, if there are any.
Links Customers only: links to share without a TrakIT sign-in.
API Key When Enable API Access is on: the key the entity uses for TrakIT’s API. Shown only to users who can change the entity.

The API Key is valid for the current calendar year. At the start of each year, it changes: give the entity the new key shown here. A customer’s system sends it to follow its containers with GetList and GetAssetLocation.

The line at the bottom says who created the entity and when, and who changed it last. For a type that needs approval, it also says who approved it and when, or Waiting for Approval.

The icons at the bottom right:

Icon What it does
Share (Share Entity Link) Shares the link to this page, or copies it. The link needs a TrakIT sign-in.
Check (Approve Entity) Approves the entity.
Pencil (Edit Entity) Changes the entity.
Bin (Delete Entity) Deletes the entity.

The speech-bubble icon at the top right (Change Log) opens the entity’s change log: notes about changes to the entity, which system administrators can add.

On a customer, Links in the details lets you give the customer a link that opens without a TrakIT sign-in:

  • Issue a Tracking Link: a link to the list of the customer’s shipments, where they can open each work order. It works for 15 days.
  • Issue an Invoice Statement Link: a link to the customer’s invoice statement. It works for 7 days. It appears if your role can preview invoices.

TrakIT creates a new link each time you select one of them. Issuing a link needs access to the customer’s responsible company, unless you are a system administrator. A link you issue shows the work orders of your workflows, and the invoices of your companies, as they are when it is opened; a system administrator’s link shows all of them.

The new link appears in the Share Link Issued popup. Select the copy icon (Copy link) to copy it, then Close.

The payment reminder emails on the Invoices tab include an invoice statement link too.

  1. Select the pencil icon (Edit Entity) at the bottom right of the details.
  2. Change the fields you need, described in Entity fields.
  3. Select Save.

Cancel goes back without saving.

If entities of this type need approval and the entity is approved, the form says This action will require re-approval of entity: saving any change removes the approval, and the entity must be approved again. If nothing changed, TrakIT says No changes made.

When you change the responsible company, the new company is enabled for the entity on the Per Company tab. When you change the name, TrakIT also updates it in the data fields that refer to the entity.

Your company can also have its own checks that stop a change with a message, and its own actions that run when an entity is created, changed or deleted. Users who subscribed to entity notifications under Notifications receive an email when an entity is created, updated or deleted.

The same fields are used to create an entity and to change one.

Message What to do
Entity Code specified already exists Choose another code.
Entity Name specified already exists in selected country Check that the entity is not already in TrakIT. If it is a different entity, make the name different.
General Emails must be specified if Status Updates are required Enter an email address, or turn off Status Updates.

TrakIT Support decides, for each entity type, whether its entities need approval. For those types, an entity that is not approved cannot have its invoices approved or given a pro-forma, and its bills cannot be validated: see Invoice and Bill.

  1. Check the entity’s details.
  2. Select the check icon (Approve Entity) at the bottom right of the details.

TrakIT checks the entity’s details, then says Entity approved successfully. The details then show Approved, with who approved it and when. The icon appears only on an entity that needs approval and is not approved yet.

Any change to the entity removes its approval.

  1. Select the bin icon (Delete Entity) at the bottom right of the details. The page shows the entity’s details, greyed out.
  2. Select Delete.

The entity is deleted with its company settings and extra types, and you return to the Entity Management page. Cancel keeps it.

An entity that is in use cannot be deleted: for example one on a job, a work order, an invoice, a bill or a quotation, or one with documents, credit status entries, linked users, assets or locations. TrakIT then says Cannot delete Entity in use. To stop using such an entity, turn on Disable instead. Unless you are a system administrator, you can delete only the entities whose responsible company is your own company.

To merge a duplicate entity into another, ask TrakIT Support.

The tabs below the details are Documents, Quotations (for customers), Work Orders, Activities, Assets, Contacts, Invoices, Entity Data, Locations, Multi-Type, Per Company, Linked Users, Credit Status, Comments and Action Log. TrakIT remembers the tab you used last, and opens the next entity on it.

The Documents tab holds the entity’s documents, such as contracts, licences, certificates or company profiles, newest first.

Use Document Type to show one type of document, or < All Documents >. The list shows the documents for all companies, and those assigned to the company chosen in Company.

Column Shows
Icons Download (Download Document) and preview (Preview Document), if your role can preview documents.
Type, Title The document type and title.

The users you chose receive an email, Document Added for followed by the entity’s name, with the document’s details and a link to the entity. Your company can also have its own checks that stop an upload, and its own actions that run after one.

Message What to do

  3. Select Update.

You cannot replace the file: add the new file as a new document, and delete the old one. To delete a document, select the cross (Delete File) at the bottom left of Modify Document, then confirm.

The Quotations tab appears on customers: entities whose main type or extra type is the customer type. It lists the customer’s quotations, 50 per page, newest first, from the companies and workflows you have access to. Select ID in the heading to sort by it.

To find a quotation, type part of its number or title in Search and press Enter. Select a row to open the quotation.

Templates are highlighted, and cancelled quotations are shown in red.

  1. Select New Quote.
  2. Fill in the quotation and select Create. See Create a quotation.

The quotation is created in the customer’s responsible company, with the customer filled in. New Quote works only on an active customer, if your role can create quotations.

The Work Orders tab lists the work orders the entity is on, in any role: as customer, shipper, receiver, carrier, transporter, return transporter, bond agent or clearing agent. It shows 20 per page, newest first, from the workflows you have access to.

Column Shows

Closed work orders are shown in grey, and cancelled ones in pink.

Select Export to download all the work orders of the list as an Excel file. It appears if your role can export work orders.

The Activities tab lists the activities for the entity, such as calls, meetings or tasks, from the companies you have access to, latest first. For what activities are, see Activities.

Column Shows

Duration How long it lasts.
Status Planned, In Progress, Overdue, Completed or Cancelled.

Completed activities are shown in grey, and cancelled ones in red. Select a row to open the activity in a new tab.

To add an activity, select Add Activity. The activity form opens with the entity already chosen: fill it in as described under Create an activity on the Activities page.

The Assets tab lists the assets that belong to the entity, such as its trucks or trailers. It needs Read in the Asset Management section, and shows the assets of the companies you have access to, as their primary company or an additional one. System administrators see all the entity’s assets.

  1. Choose the asset Type.
  2. To narrow the list, type part of an asset’s name or serial in Name/Serial.
Column Shows

Name, Serial The asset’s name and serial number.

Select a row to open the asset.

The Contacts tab lists the people you deal with at the entity, the primary contacts first. When a lead is converted into an entity, its contacts are copied here.

Column Shows

Phone, Email How to reach them.
ID Number An identity number, if needed.
Social A link to their profile, for example on LinkedIn. It opens in a new tab.

  2. Enter the Name, up to 100 characters. Required.
  3. Fill in the Designation, Phone, Email, ID Number and Social / LinkedIn URL, as needed. TrakIT adds https:// to a web address that does not start with it.
  4. Select Primary Contact for a main contact. An entity can have more than one.
  5. Select Save.

To delete a contact, select its row, then the cross (Delete Contact) at the bottom left. The contact is deleted at once.

The Invoices tab lists the entity’s invoices, debit notes and credit notes, from the companies you have access to, 10 per page, newest first. It needs the permission to read invoices.

Column Shows
Date The invoice date.
Number The invoice number. Select it to open the invoice.
Job Number The job reference, if the invoice is for one job.
Due Date The date payment is due, in red when it has passed and an amount is still outstanding.
Status Draft, Approved, Finalised, Cancelled, Reversed or Written Off.
Currency, Amount The currency and the total.
Outstanding What is still to be received, in red when above zero. An invoice marked as paid shows * before it.

Drafts are shown in grey, and cancelled invoices in red. To find an invoice, type its full number, or the full job reference, in Search and press Enter. For all the invoices of a company, see Invoices.

The Outstanding Invoices Reminder Email box, next to the list, emails the entity a reminder of its unpaid invoices. It shows when the last reminder was sent (Last Sent) and where it goes (Sent To): the finance emails, or the general emails if there are none.

  • To send reminders automatically, choose the Frequency: Daily, 2 Days, 3 Days, Weekly, Fortnightly or Monthly, or No Reminder to stop them. It is saved at once. TrakIT checks once a day, at 05:05 UTC, and sends a reminder when more days than the frequency have passed since the last one.
  • To send one now, select Send Reminder Now and confirm. You receive a copy.

Frequency and Send Reminder Now need Read in the Invoices section and, unless you are a system administrator, access to the entity’s responsible company. Without them, Frequency is greyed out and Send Reminder Now is not shown.

The reminder lists the entity’s approved invoices that are not paid, written off or cancelled, with their date, number, job, due date, amount, outstanding amount and how many days they are overdue. It includes an invoice statement link that works for 7 days. No reminder is sent when there is nothing outstanding (No outstanding invoices found), or within 24 hours of the last one (Reminder already sent less than 24 hours ago). Automatic reminders are sent only to active entities with an email address.

The Entity Data tab lists the entity’s data fields: extra fields your company has set up for the entity’s types. A star marks a required field. Until the entity’s required fields are filled in, TrakIT does not let you:

  • create a job with the entity as its customer, shipper or receiver, or a work order with it as its transporter or return transporter;
  • approve the estimates of a job whose customer is the entity;
  • approve an invoice to the entity, or validate a bill from it;
  • record a new receipt or payment for the entity.

TrakIT then says which field is missing.

  1. Enter the Value and Remarks of the fields you need. Depending on the field, you type the value, choose a date, choose a place or an entity from a list, or choose one or more values from a list.
  2. Select Save.

Use Search to find a field by name or code. Computed fields are worked out by TrakIT and cannot be changed. Inactive fields are shown in red. An alarm icon means reminders are set on the field: changing its value sets them off again. Some fields can be set up to copy their value to the matching data field of the entity’s open work orders when you save.

You can change data fields if your role can update entity data. To add fields, a system administrator uses Admin > Masters > Data Fields.

The Locations tab lists the locations that belong to the entity, such as its warehouses or yards. It needs the permission to read locations.

Column Shows
Code, Location The location’s code and name.
Type, Country The type of location and its country.
Position Its coordinates, or -.
Geofence The radius of its geofence, in metres.
GF Triggers How many geofence triggers it has.

Select a row to open the location in a new tab.

To add a location that belongs to the entity, select Add (Create a new location owned by this entity). The location form opens with the entity’s country chosen. When you save the location, the page reloads with it in the list.

An entity has one main type, and can have other types as well, for example a customer that is also a shipper. The Multi-Type tab lists the types: the main type is ticked and cannot be changed.

  1. Tick the entity’s other types, and clear those it no longer has.
  2. Select Update.

TrakIT says Entity Type assignment updated successfully. With another type, the entity:

  • appears on that type’s tab on the Entity Management page;
  • can be chosen wherever an entity of that type is needed, for example as the transporter of a work order;
  • gets the data fields of that type on the Entity Data tab;
  • gets the Quotations tab, if the type is the customer type, or the Shipping Line (SCAC) field, if it is the carrier type.

On some installations, only system administrators can add some types.

An entity can be used by several companies. The Per Company tab lists the companies you have access to, with the entity’s settings in each. A green light means the entity is enabled for the company; a red light, shown in a red row, means it is not.

Entity lists in TrakIT, for example when you choose a job’s customer or an invoice’s entity, offer only the entities enabled for the company. The entity’s responsible company is enabled when the entity is created.

Column Shows
Company The company, with its light.
Account The entity’s account code in that company, for example its customer or supplier number in your external accounting system.
Currency The entity’s currency in that company.
Credit Days The credit period for the entity’s invoices in that company.
Tax Exempt The taxes the entity is exempt from in that company.
Updated By Who changed the settings last, and how long ago.
  1. Select the company’s row.
  2. In Modify Account, turn on Enable Selection to enable the entity for the company, or turn it off to disable it.
  3. Enter the Account Code, up to 50 characters. Spaces are removed and letters are capitalized.
  4. Choose the Currency, from the company’s currencies.
  5. Enter the Credit Days, from 0 to 999.
  6. Under Tax Exempt, tick the taxes the entity is exempt from. The list shows the taxes of the company’s country. You can change it if your role can update tax status and the entity’s responsible company is one of yours.
  7. Select Save.

When you create an invoice for the entity in the company, TrakIT fills in its Credit Period from Credit Days, or, if that is empty, from the entity’s credit status in the invoice’s currency, and its Tax Exemption from Tax Exempt: see Invoices and Modify the invoice.

You cannot disable a company if an internal user linked to the entity has access to that company only: TrakIT names the user. If nothing changed, TrakIT says No changes made.

  1. Select (De)Select All….
  2. In Select / De-select All Companies, choose Select All Companies or De-select All Companies.
  3. Select Update.

This enables, or disables, the entity for each of your companies that has been set up for it; for a system administrator, for every company set up for it. A company that has never been set up for the entity is not changed: open its row instead.

The Linked Users tab lists the users linked to the entity.

An external user linked to an entity works for it in the external portal. How the user is linked (Linked As) decides which jobs and work orders they reach:

  • Customer: the jobs where the entity is the customer.
  • Transporter: the work orders where the entity is the transporter or the return transporter.

A user can be linked both ways; each link is then a row of its own.

Column Shows
User ID, Full Name The user.
User Type Internal or External.
Linked As For an external user: Customer or Transporter.
Email, Roles The user’s email address and roles.
Session Count, Last Active How many times the user has signed in, and when they were last active.

Locked users are shown in red. Select User ID, Full Name, Session Count or Last Active in the heading to sort by it.

  1. Select Add User.
  2. In Add New User, choose the User Type: Internal or External.
  3. In User ID or Name, type the user’s ID or name and choose the user.
  4. For an external user, choose how the user is Linked As.
  5. Select Add.

An internal user can be linked only if they have access to a company that uses the entity (User and Entity company doesn’t match). A user cannot be linked twice the same way (User is already linked as Customer).

To remove a link, select the cross at the end of its row, then Remove in Confirm Remove User. Only that link is removed.

The Credit Status tab records the credit you give the entity: whether it gets credit, for how many days and up to what amount, and how well it has paid. The finance page of a job shows the customer’s credit status.

The list shows the entries, newest first.

Column Shows
Credit Type No Credit, Partial Credit or Full Credit.
Credit Days The credit period, in days.
Credit Limit The currency and the amount.
Credit History How well the entity has paid, from Bad to Excellent.
Remarks The remarks.
Added By Who added the entry, and how long ago.

An entry shown in red is no longer in force.

  1. Select Add Entry.
  2. In Add New Entry, choose the Credit Type: No Credit, Partial Credit or Full Credit. Required.
  3. Choose the Credit History: Not Rated, Bad, Okay, Good or Excellent.
  4. Enter the Credit Days, from 0 to 365, and the Credit Limit with its currency. They are required for partial and full credit.
  5. Enter Remarks, if needed, up to 500 characters.
  6. Select Add.

The Comments tab holds comments about the entity. There is no option to make them visible outside your company.

  • Sort shows the newest or the oldest first; Show shows only comments with one status.
  • Each comment has a status: Active, Pending, Resolved or Cancelled. If your role can update entities, select the status to change it.
  • Select the expand icon to read a long comment full screen.

To post a comment, select Add…, write the comment and select Post. You can format it and add links, images and tables. To record a spoken comment instead, select the microphone button. Posting comments needs the permission to update entities.

You can delete your own comment within 30 minutes of posting it, if it has not been emailed yet and your role has the Delete Comment permission in the Work Orders section.

Comment Recipients lists the users who are told about new comments. You are added when you post a comment. A recipient receives an email only if they have subscribed to comment notifications, under Notifications. To add a user, select Add, choose the user and select Add User: the list offers the active internal users with an email address who have access to the entity’s responsible company. To remove one, select the red cross next to their name.

The Action Log tab lists what was done to the entity and when: creation, changes (with each changed field), approval, documents added, changed and deleted, users linked and unlinked, company settings, types, tags, credit status entries and payment reminders. Use Search to find a user, action or value, and Show Page Loads to include page views. Select Export to download the log as an Excel file. How long the log is kept depends on your installation’s data retention policy.

Your role needs Read in the Entity Management section to open an entity. Changing or approving it, issuing its links and sending its payment reminders also need access to its responsible company, unless you are a system administrator. Comments, and your own companies’ rows on the Per Company tab apart from Tax Exempt, do not. Everything else needs its own permission in the Entity Management section:

Permission Allows you to
Update Change the entity, its contacts, its extra types and its company settings, see its API Key, and post comments and change their status.
Delete Delete the entity, if your own company is its responsible company.
Approve Approve the entity, for types that need approval.
Upload Document Add documents.
Preview/Download Document Download and preview documents.
Delete Document Modify and delete documents.
Update Entity Data Change the entity’s data fields.
Link/Unlink User Link users to the entity and remove them.
Add Credit History Add credit status entries.
Add/Update Tax Status Change Tax Exempt on the Per Company tab.
