Quick search
Quick Search finds a record from any TrakIT page on a computer, without opening its list first: a work order by its container number, an entity by its name, an invoice by its number, and so on.
Search
Section titled “Search”- Select Quick Search, at the right under the main menu. A search panel opens below the menu.
- In Search In, choose what to search: Work Orders, Work Order Data, Entities, Assets, Users, Invoices or Bills.
- For Work Orders, select Include Closed to include closed work orders. This takes longer.
- In Search For, type the text to find.
- Press Enter, or select the funnel icon (Search).
TrakIT shows how many records it found, and how long the search took. It shows at most 100, and says Displaying top 100 results only when it reaches that limit: type more of the text to narrow the search. If it finds nothing, it says so, for example No work orders found.
The records open in a new tab, so the search panel stays where it is. TrakIT remembers your Search In choice for next time.
To close the panel, select the red cross (Close), or select Quick Search again.
What each search finds
Section titled “What each search finds”| Search In | What it finds | Results |
|---|---|---|
| Work Orders | Work orders whose container number, load ID (for example Manifest) or job reference contains the text, or, for a number, whose work order ID or job ID is that number. Active and abandoned work orders only, unless you select Include Closed; closed ones are grey. Cancelled work orders are never found. | Workflow, the job reference (its short name is set up for your company, for example T/D), Job ID, WOID, Created, Services, Container/Manifest, Last Event and Status. The job reference opens the job, Job ID opens the finance job and WOID opens the work order. |
| Work Order Data | Active and abandoned work orders with a data value that contains the text, in data fields whose definition has Quick Search turned on. | The same columns as Work Orders. |
| Entities | Entities whose name contains the text, or whose code is exactly the text. | Code, Name, Type, Multi-Type, Company and Country. Inactive entities are red. The code opens the entity. |
| Assets | Assets whose name or serial number contains the text. | Name, Serial, Type and Category. Inactive assets are red. The name opens the asset. |
| Users | Users whose user ID or full name contains the text. Locked users, portal users and TrakIT Support users are not listed. | User ID, Full Name, Email, Company and Roles. The user ID opens the user. |
| Invoices | Invoices whose number contains the text. | Number, Date, Entity, Company, Amount and Status. Cancelled invoices are red. The number opens the invoice. |
| Bills | Bills whose number contains the text. Draft bills are not listed. | Number, Date, Entity, Company, Amount and Status. Disputed bills are red. The number opens the bill. |
The text you searched for is highlighted in the results. TrakIT ignores % in what you type.
What you can find
Section titled “What you can find”What you can find follows what you can see elsewhere in TrakIT. Unless you are a system administrator:
- work orders come only from the workflows you have access to;
- entities, assets, invoices and bills come only from the companies you have access to;
- if your role cannot view a kind of record, searching for it always finds nothing. The table below lists the permission each choice needs.
