Transport work order

The work order page shows one work order you haul as a transporter: the details of the container or load, and tabs for its data, its events, its documents and where it is. You can also upload documents to it, such as a signed delivery note.

To open a work order, select its row on the Work Orders page. A link to a work order that the company sends you, for example in an email, opens this page too when you are its transporter; if you are not signed in, TrakIT asks you to sign in first.

This page is the transporter’s view of a work order. A customer sees the same work order from their job, with other details: see Compared with the customer’s view.

  • The arrow (Back to Work Orders) returns to the Work Orders list.
  • Above the title, Work Order is followed by Job and the job reference: the number of the shipment the work order belongs to, such as a bill of lading number.
  • The title is the work order ID.

As a transporter, you see only the work order: not its job, nor the job’s other work orders.

The box under the title shows the work order’s details that the company lets external users see. A detail with no value is left out.

Field Shows
Container No. The container number.
Seal Number The number of the seal on the container.
Load reference, under the company’s name for it The reference of a load that is not in a container.
Load Type The type of container or load.
Transporter, under the company’s name for it, for example Transporter The transporter.
Return transporter, under the company’s name for it The return transporter, if there is one.
Commodity The goods carried.
Cargo Type The kind of cargo, for example FCL, LCL or Bulk.
Weight The weight, in kg.
Volume The volume, in m3.
Location List The places of the move, in order, separated by =>.
Country of Origin The country the goods come from.
Final Destination The country the goods are going to.

The customer, shipper, receiver, carrier and agents of the shipment are not shown to transporters.

Below the header are the tabs your portal role allows, in this order: Details, Events, Documents and Location. Location appears only on a work order that is tracked. The page opens on the first tab.

The company decides which data fields and events of each workflow external users can see; only those appear on Details and Events. Some may have a name of their own for external users.

Details lists the work order’s data fields: information recorded on the work order, such as a delivery reference or a truck number, with its value. They are in the order the company has set for the workflow. A date is shown with its time, in the time zone set for your account, for example 14:30, 25 Sep 2026. Nothing to show means there are no data fields you can see.

Events shows the work order’s events as a timeline. An event is a step of the move, such as a gate-out at the port or the delivery to the warehouse, recorded with the date and time it happened.

  • An event that has happened has a tick, with its time and date in the time zone set for your account, for example 14:30, 25 Sep.
  • An event that has not happened yet has no tick. Instead of a date, it can show NA when the event does not apply to this work order, or TBA when its date is not known yet.

The events are in the order the company has set for the workflow. Nothing to show means there are no events you can see.

Documents lists the documents of this work order that the company has made available to external users, including those you uploaded. Documents of the whole job are not shown to transporters.

Column Shows
Title The document’s title, with an icon for its kind of file, such as PDF or image.
File Name The name of the file.
Size The size of the file, in KB.
(icons) Download saves the file. Preview opens a PDF, a picture or a text file in a new browser tab; other kinds of file are downloaded instead.

No Documents Available means there are none.

  1. On the Documents tab, select Upload.
  2. In Upload Document, choose the Document Title from the list. If the company has not set up titles for the workflow, type a title instead, up to 100 characters.
  3. Under File, choose the file, up to 20 MB.
  4. Select Upload. You can select it once there is a title and a file.

The popup closes and the document appears in the list. It is stored on this work order only and is visible to external users. You cannot rename or delete it afterwards. Cancel, or a click outside the popup, closes it without uploading.

When a transporter uploads a document, TrakIT does not send the company the email it sends for a customer’s upload. If someone needs to know about the document, tell your contact.

If the upload is refused, a message appears at the top of the page and the popup stays open with what you entered:

Message Means
Select a file to upload Choose a file that is not empty.
File size cannot exceed 20 MB Choose a smaller file.
File name cannot exceed 100 characters Rename the file on your computer, then choose it again.
Document Title cannot exceed 100 characters Shorten the title.
Document Title contains possible html tag Remove < followed by a letter from the title, and do not start it with =, + or @.
Select a Document Title from the list Choose one of the titles in the list.
Cannot upload this file type This kind of file is not accepted.
File type must be one of these: followed by the file types The company accepts only those file types from external users.
Document with same title, file name and size already exists The document is already on the work order.

The company can also have checks of its own that refuse a document with a message.

Location shows on a map where the work order has been, when the company tracks it, for example with a GPS device on the truck or a driver’s phone.

  • A blue line traces the positions recorded between the workflow’s tracking start and end events. If the work order is closed or cancelled before the end event, the line stops when it was closed or cancelled.
  • An arrow marks the latest position and points in the direction of travel. It is green when that position is less than an hour old, orange when it is less than 12 hours old, and red when it is older.
  • Select the arrow to see the Asset Name (for a driver’s phone, the driver’s name), the Source (the asset’s serial number; not shown for a phone), the Time, the Speed in kmph and the Direction.

No location data available means no position has been recorded yet, for example because the move has not started. If the map cannot load, TrakIT says The map could not be drawn. Select the tab again to retry.

A customer opens a work order from its job: see Work order. The two views differ:

Transporter (this page) Customer
Reached through A link to an entity as a Transporter that is the work order’s transporter or return transporter. A link to an entity as a Customer that is the job’s customer.
Back arrow Returns to the Work Orders list. Returns to the job.
Header Operational details only. Also the customer, shipper, receiver, carrier, agents and job type, as the company allows.
Tabs Granted in the Transporter Work Orders section. Granted in the Jobs & Work Orders section.
Documents The work order’s own documents. The work order’s documents and those of the whole job.
Uploads Stored on the work order only. Stored for the whole job, and the person responsible for the job at the company is emailed.

If you are linked to the customer and to the transporter of the same work order, you can open it both ways, and each view shows its own details.

Message Means
That work order was not found, or you do not have permission to view it. The work order does not exist, you are not its transporter, or the company’s filters for your account hide it. Back to Work Orders returns to the list.
That work order could not be loaded. TrakIT could not be reached, or returned an error. Select Retry.
Not found or not permitted What a tab shows is not available to you, for example because your role has changed. Reload the page.

If your session has ended, the portal takes you back to the sign-in page: see When TrakIT signs you out.

You need a link to an entity as a Transporter, and that entity must be the work order’s transporter or return transporter. Your portal role then decides what you see:

Section Permission Allows you to
Transporter Work Orders Read Open the work order and see its header.
Transporter Work Orders View Data Fields See the Details tab.
Transporter Work Orders View Events See the Events tab.
Transporter Work Orders View Tracking Map See the Location tab, on a work order that is tracked.

The company sets your portal role and your entity links. See Transporter Work Orders and Documents.
