Set up an authenticator app
If your user signs in with two-factor authentication through an authenticator app, TrakIT asks for a code from the app every time you sign in. The Set Up Authenticator page links the app to your TrakIT user. You set it up once, and again whenever you change phone or app.
An authenticator app is an app on your phone, such as Google Authenticator or Microsoft Authenticator, that shows a new six-digit code every 30 seconds. Any app that supports time-based codes (TOTP) works.
An administrator decides whether your user needs an authenticator app: it does when Two Factor Auth on your user record is TOTP. For the other kinds of two-factor authentication, see Two-factor authentication.
Set up the app
Section titled “Set up the app”When your user needs an authenticator app that is not set up yet, TrakIT opens Set Up Authenticator as soon as you sign in. Until you finish, every page you open brings you back to it.
- On your phone, open your authenticator app and add a new account.
- Scan the QR code on the page with the app, or type the code shown after type in this code into the app.
- In the box under the QR code, type the six-digit code the app now shows for TrakIT.
- Select Submit.
TrakIT shows The code entered was correct. Two-factor authentication is now active. From then on, TrakIT asks for a code from the app each time you sign in. The account appears in the app as TrakIT, with your email address.
If you set up the app in the TrakIT mobile app on your phone, you can’t scan your own screen. Select Add to authenticator app on this phone instead, then come back and type the code. When it is done, select Continue to go to the mobile app’s home page.
| Message | What to do |
|---|---|
| The code must be six digits long or The code must be a number | Type the six digits the app shows, without spaces or letters. |
| The code entered is not valid | Type the code the app shows now, before it changes. If it still fails, check that your phone’s clock is set automatically. If you added TrakIT to the app before opening this page, delete that entry in the app and scan the QR code again. |
Set it up again on a new phone or app
Section titled “Set it up again on a new phone or app”TrakIT accepts codes from one registration at a time. To move to another phone or app, delete the current registration and set up the new one straight away, on the same page. Do it while you can still sign in with the old app, and have the new phone with you.
- Open your user record: select your user ID in the line under the main menu, and then Register
App next to Two Factor Auth. Or go to the Set Up Authenticator page directly, at
/totp.aspxon your TrakIT web address. - The page shows You have successfully configured your authentication app to work with TrakIT. Select Delete Registration.
- In Confirm Delete, confirm.
- The page shows a new QR code and code. Without leaving the page, follow the steps in Set up the app with the new phone or app.
After you delete the registration, the old app’s codes no longer work. Remove the TrakIT entry from the old app too, so that you don’t use its codes by mistake.
Your user ID opens your user record only if your role can view users (Read in the User Management section). Otherwise, use the page’s web address.
If you have lost your phone
Section titled “If you have lost your phone”You can’t delete the registration without signing in, and signing in needs a code from the app. Contact your system administrator or TrakIT Support.
