Training compliance

The Training Compliance Dashboard shows how far the employees of one company are with the trainings assigned to them: totals for the whole company, compliance for each training, the employees who are overdue and the certificates that expire soon. The page is read-only: to act on an employee’s training, use Training records.

To open it, select HR > Training > Compliance.

For how trainings, assignments and employee training records fit together, and what each status means, see Training.

The lists at the top of the page choose what the dashboard counts:

  • The company: the companies you have access to. It starts on your own company.
  • Expiring within: 30 days, 60 days or 90 days. It sets the window for the Expiring box and the Expiring Certificates list, and starts on 30 days.

The page updates as soon as you change either of them.

The dashboard counts the training records of the company’s current employees: the users whose own company is the selected company, who are set up as employees on Employee master, and whose employee Status is not Terminated, Resigned or Retired (see Employee). An employee who has access to several companies is counted in their own company only.

Box Counts
Active Trainings The active trainings the company can use: its own, those set up for all companies, and those other companies have marked as Shared. See Training master.
Total Assigned All the employees’ training records, whatever their status.
Completed Records that are Completed.
Pending Records that are Pending or In Progress.
Overdue Records that are Pending or In Progress and whose due date has passed.
Expiring Records whose certificate expires between today and the end of the Expiring within window.
Pending Approval Records that are In Progress, with a proof document uploaded, and not approved yet.
Overall Compliance Completed as a percentage of Total Assigned, rounded to a whole number.

A box with a count of 0 is faded.

Total Assigned also includes the records that are Waived, Failed or Expired. So Completed and Pending don’t add up to it, and those records lower the Overall Compliance.

The Compliance by Training table has a row for each active training the company can use that has at least one record for the company’s current employees. Mandatory trainings come first, then the trainings with the lowest compliance, then the others by title.

Column Shows
Code, Training, Category The training’s code, title and category.
Mandatory A green tick for a mandatory training, - for the others.
Assigned The number of records for the training, whatever their status.
Completed Records that are Completed, in green.
Pending Records that are Pending or In Progress.
Overdue Records that are Pending or In Progress and past their due date, in red when there are any.
Waived Records that are Waived.
Failed Records that are Failed, in red when there are any.
Compliance % Completed as a percentage of Assigned, to one decimal: green from 80%, amber from 50% to below 80%, and red below 50%.

Expired records count in Assigned but have no column of their own. The table leaves out trainings that are inactive or deleted, while the boxes count the records of every training, so the totals of the table may not match the boxes.

The Overdue Employees list, on the left, has a row for each record that is Pending or In Progress and whose due date has passed, the most overdue first. All the rows are red.

To see the employees of one department, choose it in the list next to the heading. All Departments shows everyone. The list offers the departments that have users in the selected company, and the choice applies to this list only.

Column Shows
Employee The employee’s name, with their department below it.
Training The training’s code, with its title below it.
Days Overdue How many days have passed since the due date.
Due Date The record’s due date.

The Expiring Certificates list, on the right, has a row for each completed record whose certificate expires within the Expiring within window, the soonest first. The window is shown next to the heading, for example (within 30 days).

Column Shows
Employee The employee’s name, with their department below it.
Training The training’s code, with its title below it.
Certificate No. The number of the employee’s certificate.
Days Left How many days are left before the certificate expires.
Expiry Date The date the certificate expires.

Rows with 14 days or less left are red; the others are amber.

Once a day, TrakIT marks the records whose certificate has expired as Expired and adds new Pending records for the employees to renew them: see Training. A certificate whose expiry date has passed stays in this list until that daily check marks it Expired.

Your role needs Read in the Employee Training section to open the page. You see the training of the employees of every company you have access to.
