Jobs

The Operations page is where you find jobs and work orders. A job groups the work orders of one shipment or assignment, and each work order follows a workflow. You see only the work orders of the workflows you have access to.

To open it, select Operations > Jobs. For the whole path from a new job to its closed work orders, see From job to closed work order. On a phone, see Jobs in the mobile app.

  1. If the page shows tabs above the filters, select the workflow group to search in, or All.
  2. Select Filters to open the filter panel, if it is closed.
  3. Enter or select the filters you need.
  4. Select Search.

The number of matches appears above the list, for example 125 Found. Select a job reference to open the job, or a work order ID to open the work order.

TrakIT remembers your filters, your view and your page size, and uses them the next time you open the page. To go back to the default filters, select Reset: it shows active and abandoned work orders of all workflows, with any KPI alert status.

If a search takes too long, TrakIT cancels it and keeps your filters, so that you can narrow the search, for example by workflow, status or a date range, and search again.

Select Skip Count to skip counting all the matches. The search is faster on large results, but it fetches only the first page, so you cannot move to other pages or export. When the page is full, the count ends with +, for example 20+ Found.

If your workflows are organized in more than one workflow group, a tab appears for each group, plus All. The list and the Workflows filter show only the workflows of the selected group. TrakIT opens the page on the group you used last, or on your default workflow group.

These filters are always shown:

If an administrator has limited the work orders you can see, the filter panel shows [ User Filter Active ] or Custom Filters Active.

Two tabs above the list switch between views. TrakIT remembers the one you used last.

One row per job, newest first. A job matches when any of its work orders matches the filters.

One row per work order, newest first. In workflow groups that have no jobs, this is the only view.

The columns are set up for your company, and can include header fields, events, data fields and KPIs of the work orders. Select a column heading to sort by it, where the column allows it. In the list:

  • The job reference opens the job, and the job ID opens its finance page. A work order ID opens the work order; a red ! after it means the work order is abandoned.
  • The last event is shown in the colour set for that event, with its date and time.
  • The alert icon is grey when there are no KPI alerts, red for active alerts and amber when the alerts are snoozed.
  • Void in grey means the event or data field is not part of that work order’s workflow.

Use the pages at the bottom of the list to move through the results. TrakIT remembers the page size you choose.

Select Create above the list to create a job. The button appears only if your role can create work orders.

You can export the work orders that match your filters to an Excel file (.xlsx), in the By Work Order view; in the By Job view, Export asks you to switch. Export does not appear when Skip Count is selected.

  1. Select By Work Order.
  2. Select Export. The Work Order Export window shows the number of work orders.
  3. Under Available Fields, select the Header, Events, Data or KPIs tab, then select each field to add. Type in Search… to find a field.
  4. Under Selected Fields, drag the fields into the order you want. For each field you can also set:
    • for events and data fields, what to export: Value, Remarks, Updated On or Updated By;
    • for KPIs, Hours or Days;
    • a Format, such as #,##0.00 or dd-MMM-yyyy, and the alignment.
  5. In Option, select Download Now, or Send Email to receive the file by email. Use Send Email for large exports.
  6. Select Export.

Work Order ID is always the first column. TrakIT keeps your list of fields for the next export.

There is a limit on the number of work orders you can export at once, set for your company. If you go over it, TrakIT asks you to use filters to select fewer work orders.

Your role needs these permissions in the Work Orders section:

Permission Allows you to
Read Open the page and see work orders.
Create See Create and create jobs.
Export See Export and export work orders.

You also need access to at least one workflow: without any, the page shows No Workflows.
