Training master

The Training Master page is the list of trainings your employees can be assigned: safety inductions, compliance courses, product training and so on. Every training record of an employee belongs to a training set up here.

To open it, select HR > Training > Masters.

Once a training is set up, assign it to employees on Training assignments. For how the whole process works, see Training.

The list at the top chooses the company. It holds the companies you have access to, starts on your own company, and is greyed out if you have only one.

The page lists the active trainings the company can use: its own trainings, the trainings other companies share, and any trainings set up for every company on your installation. A training you add belongs to the company selected here.

  1. Select Filters to open the filter panel, if it is closed.
  2. Enter or select the filters you need.
  3. Select Search.
Filter Finds
Code / Title Any part of the training’s code or title.
Category The trainings of one category.
Type The trainings of one type.
Mandatory Yes for mandatory trainings, No for the others.
Status Active or Inactive trainings. The page shows active trainings only: see Inactive trainings.

A filter in use is highlighted. Reset clears the filters. TrakIT remembers whether you left the filter panel open or closed.

The heading shows how many trainings match, for example Trainings Found - 12. The list shows 20 trainings per page, by title.

  1. Choose the company at the top of the page.
  2. Select Add Training.
  3. In Add Training, fill in the fields below.
  4. Select Save.
Field What to enter
Code Required. A short code, up to 20 characters, for example HSE-01. TrakIT stores it in capitals. Two trainings of the same company can’t have the same code.
Title Required. The training’s name, up to 200 characters.
Type Required. Online / Self-Paced, Classroom / In-Person, Video or Document / Reading. Employees mark trainings complete themselves on My training, except Classroom / In-Person trainings, which they submit for approval.
Description Optional. What the training covers, for your reference.
Category Optional. A group, for example Safety or Compliance, up to 50 characters. The Category filter lists the categories in use.
Duration Optional. How long the training takes, in minutes, for your reference.
Mandatory Tick Yes for a training employees must do. Mandatory trainings are marked on the training pages, can be filtered, and are given as mandatory in reminders.
Validity How many days a completion stays valid. The certificate expires that many days after the training is completed, and TrakIT then asks the employee to do it again: see Certificates and renewal. Leave it at 0 for a training that never expires.
Pass Score Optional. The minimum score, from 1 to 100 %, for a training with a test. When a score below it is entered on completion, the training is recorded as Failed. Leave it blank if there is no test.
Content URL / Path Optional. Where to find the training material, up to 500 characters, for your reference. It isn’t shown on My Training.
Provider Optional. The outside provider who gives the training, up to 100 characters.
Shared Tick it to let other companies use the training: it appears in their lists and they can assign it to their employees.
Active Ticked for a new training. See Inactive trainings.
  1. Select the pencil on the training’s row.
  2. In Edit Training, change the fields you need.
  3. Select Save.

A training stays with its own company, whichever company is chosen at the top of the page. Only users of that company can change or delete it. The trainings other companies share, and the trainings set up for every company, are listed here for you to assign, without the pencil and the bin; only a system administrator can change a training set up for every company.

Changes to Validity and Pass Score apply to completions recorded after the change: the certificates already issued keep their expiry dates, and past scores stay as they were.

Clear Active to stop using a training without deleting it. An inactive training can’t be assigned any more, and no longer appears in the lists of trainings on the training pages. The records employees already have for it stay on My training and Training records, and can still be completed.

This page shows active trainings only, whatever you choose in Status. So once a training is inactive, you can’t make it active again here: clear Active only for a training you won’t use again.

  1. Select the bin on the training’s row.
  2. Select OK to confirm Delete this training?.

You can’t delete a training while an employee has a Pending or In Progress record for it: complete or waive those records on Training records first.

Deleting a training also removes all its records, completed ones and their certificates included, from My training and Training records. To keep them, make the training inactive instead.
