Work order

The Work Order page follows one work order of one of your jobs. A work order is one container or one load of the job, followed through each step the company takes with it, such as the arrival of the vessel, customs clearance and delivery. The page shows the work order’s main details, and tabs for its events, its other details, its documents and, when it is tracked, its position on a map.

To open a work order, select its row on the Work Orders tab of its job. A link to a work order in an email from TrakIT also opens it here, after you sign in.

  • The arrow at the top left (Back to the Job) goes back to the work order’s job.
  • The heading is the work order’s number. Above it, Work Order · Job is followed by the job reference, for example the bill of lading number.
  • Below it, a box shows the work order’s main details that the company shares with you. Which details appear depends on the kind of job, and the company sets up some of their names; a detail with no value is left out.

The details can include:

Detail Shows
The customer, shipper, receiver, carrier and agents The companies involved, under the names the company uses for them, such as Shipper or Carrier.
Container No., or the load reference The container number, or the reference of a load without a container.
Load Type, Seal Number The type of container, for example 22G1, and its seal number.
Commodity, Cargo Type The goods, and the kind of cargo, for example FCL for a full container load.
Weight, Volume The weight in kg and the volume in m3.
Transporter, Return Transporter The transport companies that move the container, and that return it empty.
Job Type The kinds of service of the job.
Location List The places the work order goes to, in order, separated by =>.
Country of Origin, Final Destination The countries the goods come from and go to.

Under the box are the tabs your role allows, in this order: Details, Events, Documents and Location. The first one opens.

The work order has no comments: comments belong to the job, on its Comments tab.

The Details tab lists the work order’s data fields that the company shares with you: each one’s name and value, for example a booking number or a customs declaration number. Dates and times are shown in your time zone.

Nothing to show means the company shares no data fields on this work order.

The Events tab shows the steps of the work order that the company shares with you, as a timeline in the order the company’s process lists them, for example Vessel Arrived, Customs Cleared and Delivered.

  • A step that has happened has a tick, and the time and date it happened, in your time zone, for example 14:30, 25 Sep.
  • A step that has not happened yet has no tick. Instead of a date, it can show NA when the step does not apply to this work order, or TBA when its date is not known yet.

Nothing to show means the company shares no events on this work order.

The Documents tab lists the documents the company shares with you on this work order: those of the work order itself, and those of the job as a whole, marked Job. They are in alphabetical order of title.

Column Shows
Title The document’s title, with an icon for the kind of file. Job marks a document of the whole job: it appears on every work order of the job.
File Name The name of the file.
Size The size of the file, in KB.
(icons) The download icon (Download) saves the file. The eye icon (Preview) opens a PDF, a picture or a text file in a new browser tab; other kinds of file are downloaded instead.

No Documents Available means the company has not shared any document on this work order or its job yet.

If your role allows it, you can add a document from here.

  1. On the Documents tab, select Upload.
  2. In Upload Document, give the Document Title: choose one from the list if the company has set up document titles for this kind of job, or type a title of up to 100 characters.
  3. In File, choose the file. It can be up to 20 MB.
  4. Select Upload.

The document is added to the job as a whole, not only to this work order: it is marked Job, and appears on the Documents tab of every work order of the job and of the job itself. The person in charge of the job at the company is told by email. You cannot rename or delete the document afterwards.

If the upload is refused, the popup stays open and the reason appears at the top of the page. For what each message means, see Upload a document on the job.

The Location tab appears when the company tracks the work order, for example with a GPS device in the truck, and your role allows you to see it. The map shows:

  • the route travelled so far, as a blue line, from the step at which the company starts tracking the work order. Once the step at which tracking stops has happened, the route ends there; if the work order is closed or cancelled before that step, the route ends when it was closed or cancelled;
  • an arrow at the latest position, pointing in the direction of travel. Its colour shows how recent the position is: green for less than an hour old, orange for less than 12 hours, red for older.

Select the arrow to see details of that position, such as its time, and the speed and direction when they are known. Use the map’s own controls to zoom and move around.

No location data available means tracking has not started yet, or no position has been received. If the map itself cannot load, the portal says The map could not be drawn. Open the tab again to retry.

Message Means
That work order was not found, or you do not have permission to view it. The work order does not exist, or it is not one of yours. Back to Jobs returns to the list of jobs.
That work order could not be loaded. TrakIT could not be reached, or returned an error. Select Retry.
Not found or not permitted Something you asked for is not available to you, for example because your role has changed. Reload the page.

If your session has ended, the portal takes you back to the sign-in page: see When TrakIT signs you out.

The page needs a portal role with these permissions:

Section Permission Allows you to
Jobs & Work Orders Read Open the work order and see its main details.
Jobs & Work Orders View Data Fields See the Details tab.
Jobs & Work Orders View Events See the Events tab.
Jobs & Work Orders View Tracking Map See the Location tab of a tracked work order.
Documents Preview/Download See the Documents tab, and download and preview its documents.
Documents Upload Upload documents with Upload.

You can open a work order only if its job’s customer is a company you are linked to as its Customer, and if it is not excluded by filters the company has set for your account. If you are linked to a company as a Transporter, the work orders you carry open on a page of their own: see Transport work order.

Your contact at the company sets up your role and your links. For administrators, see Jobs & Work Orders, Documents and Linked Entities.
