Job
The job page of the mobile app shows one job on your phone or tablet: its details, the work orders it groups, and what belongs to the job as a whole, such as its documents and comments. Its heading is your company’s short name for the job reference followed by the reference, for example T/D ABC123.
To open a job, select its card on the Jobs page, or the job reference on one of its work orders. The back arrow at the top left (Back to Jobs) returns to the jobs list.
It is the phone version of the desktop Job page. To do more, for example change several work orders at once, add tags, link a quotation or see the carrier tracking, use the job page in TrakIT on a computer.
Job details
Section titled “Job details”The box at the top lists the job’s details. Which fields appear depends on the workflow, and fields with no value are left out.
| Field | Shows |
|---|---|
| Workflow | The workflow of the job. |
| Job ID | The job’s number in TrakIT. |
| WO Count | The number of work orders, plus the number cancelled, for example 3 (+1 cancelled). |
| Customer, shipper, receiver | The entities. The labels are your company’s names for these entity types. |
| Total Weight, Total Volume | The totals of the work orders, in kilograms and cubic metres. |
| Job Type, Cargo Type, Commodity, Incoterms | The job’s details. |
| Quotation | The quotation linked to the job. |
| Workflow Serial | The job’s serial number in its workflow, if it has one. |
Below the fields, Created shows when the job was created, in your time zone.
The tabs under the details are Work Orders, then Documents, Items, Comments and Audit Log if the workflow and your permissions allow them. On a narrow screen, swipe the tabs sideways to see them all. The page opens on Work Orders.
Each tab loads the first time you select it, and reloads after you change something in it. To see changes other people have made since, reload the page.
Work Orders tab
Section titled “Work Orders tab”The Work Orders tab lists the job’s work orders as cards, with their number next to the Work Orders heading. What a card shows is set up for your company, for example the work order ID, the container number, the workflow and the customer.
- Cancelled work orders are faded, and closed ones are grey.
- Select a card to open the work order.
No work orders means the job has none.
Documents tab
Section titled “Documents tab”The Documents tab lists the documents of the job as a whole. Documents added to one work order are on that work order’s Documents tab, not here.
Each card shows the document’s title, its file name and size, the checklist items it is linked to, and who uploaded it and when.
| Mark | Means |
|---|---|
| Ext | The document has external access: external users, such as the customer, can see it. |
| Cancelled | The document is cancelled. Its card is faded. |
| Fixed | The document cannot be deleted, for example some documents generated from forms. |
| (external) after the uploader | An external user uploaded it. System means TrakIT added it. |
The buttons on a card:
- View opens the document in a new browser tab, and the download icon (Download) saves it to your phone. Documents limited to roles you do not have show neither.
- Cancel cancels the document, and Reinstate makes a cancelled one active again. TrakIT asks you to confirm: select Yes. Cancelling also removes the document’s external access and its checklist links.
- The bin icon (Delete) deletes the document for good, after you confirm with Yes. If someone else uploaded it, they receive an email. Fixed documents cannot be deleted.
The workflow can also refuse to cancel, reinstate or delete a document: TrakIT then shows the reason. To change a document’s details, email documents or manage the document checklist, use the job’s Documents tab on a computer.
Upload documents
Section titled “Upload documents”- Select Add Document.
- Select Upload File to choose files, or Upload from Gallery to choose photos or videos. You can choose several at once.
- In Upload Document, check the files listed. For a single file, change the Title if needed: it starts as the file name without its extension. When you upload several files, each is titled with its file name, without the extension.
- To let external users, such as the customer, see the documents, select External Access.
- Under Document Checklist, if shown, select the checklist items the documents are for, then choose their new status in the list that appears. An item’s current status, if it has one, is in brackets after its name. Leave them all cleared if the documents are for no checklist item.
- Select Upload.
The documents are added to the whole job, so they appear on all its work orders. TrakIT uploads the files one by one. When they are all uploaded, it says so. If some could not be uploaded, it lists each of those with the reason instead: upload them again. If none could be uploaded, the popup stays open.
- Each file can be up to 20 MB, of the file types your installation accepts.
- If you do not choose checklist items, TrakIT links the documents to the items whose name pattern matches the file name, as on a computer.
- TrakIT refuses a file when the job already has a document with the same title, file name and size (Document with same title, file name and size already exists).
- TrakIT remembers the checklist status you chose for the next upload.
Items tab
Section titled “Items tab”If the workflow uses warehouse items, the Items tab lists the items of all the job’s work orders. Each card shows:
- the item’s name and code, and its quantity and unit;
- its work order (select WO and the number to open the work order) and container number;
- its weight, volume, serial and HS code;
- its area and storage location, if the workflow uses warehouses;
- its reference, in grey when it is the reference of the warehouse transaction, and its remarks;
- who last changed it, and when.
The totals of the weights and volumes are at the bottom. The tab is read only: to add or commit items, see Items on the work order page on a computer.
Comments tab
Section titled “Comments tab”The Comments tab holds the job’s comments, newest first. They are the same comments as on each of the job’s work orders, on a computer and in the mobile app.
Each comment shows its text, who posted it and when, and its status: Active, Pending, Resolved or Cancelled. If your role can update comments, the status is a list: choose another status to change it. [Visible to Customer] in red marks a comment the customer can see. A spoken comment shows Audio comment (play it on the desktop): listen to it in TrakIT on a computer.
The tab shows 10 comments at first. Select Load more at the bottom to see the next ones.
Post a comment
Section titled “Post a comment”- Type the comment in Add a comment.
- To let the customer see it, select Visible to Customer. The customer then sees the comment in the portal and receives it by email. Leave it cleared for an internal comment.
- Select Post.
Posting a comment adds you to the job’s comment recipients, and the other recipients are told about it: see Who is told about new comments. You can change the recipients only on a computer.
You can delete your own comment within 30 minutes of posting it: select the bin icon (Delete) on the comment, then Yes.
Audit Log tab
Section titled “Audit Log tab”The Audit Log tab lists what was done to the job and its work orders, newest first: the kind of change, when it happened, the details, and who made it. An entry about one work order ends with WO and its number.
The tab shows 50 entries at first. Select Load more at the bottom to see the next ones. To filter or export the log, use the job’s Audit Log tab on a computer.
Messages
Section titled “Messages”If the page shows Invalid Resource with Job not found or no permission, the job does not exist, or it belongs to a workflow you have no access to. See In the mobile app.
Other messages appear in a box at the top of the screen for a few seconds.
| Message | What to do |
|---|---|
| File size cannot exceed 20MB | Make the file smaller, or split it. |
| Invalid File Extension or Cannot upload this file type | Upload a file of a type your installation accepts. |
| File is empty or zero size | Choose another file. |
| Comments can only be deleted within 30 minutes of posting | The comment is too old to delete. Post a new comment to correct it instead. |
| Unable to reach the server | Check your phone’s internet connection, then try again. |
| User Login Required | Your session has ended. Reload the page to sign in again. |
Who can use this page
Section titled “Who can use this page”Your user needs the PWA access mode (see User access), and you must have access to the job’s workflow. Your role needs Read in the Work Orders section to open the page; without it, the page shows Authorization Failed. The rest needs these permissions in the same section:
| Permission | Allows you to |
|---|---|
| View Document List | See the Documents tab. |
| Upload Document and Allow Shared Document | See Add Document and upload documents to the job. |
| Allow External Access to Document | Select External Access when uploading. |
| View Document Checklist | Link uploaded documents to checklist items. |
| Preview/Download Internal Document, Preview/Download External Document | View and download documents without and with external access. |
| Cancel Document, Reinstate Document | Cancel documents, and reinstate cancelled ones. |
| Delete Document | Delete documents. |
| View Comments | See the Comments tab. |
| Add Comments | Post comments. |
| Update Comments | Change a comment’s status. |
| Delete Comment | Delete your own comments. |
| View Audit Log | See the Audit Log tab. |
The Items tab needs no permission of its own: it appears if the workflow uses items.
