Application settings

The Application Settings page holds the settings that apply to your whole installation and that a system administrator looks after: how abandoned work orders are handled, how long a KPI alert can be snoozed, how many work orders can be exported at once, whether TrakIT sends and reads email, and which email addresses internal users may have. A change applies at once, for every user and every company.

To open it, select Admin > SysAdmin Pages > Application Settings. Only system administrators can open it. Other settings of your installation are kept by TrakIT Support.

The settings are grouped in sections. Point to the tip icon next to a setting to read what it does and, for a number, the values allowed.

Each setting has one of four kinds of control:

  • a switch, on or off;
  • a whole number, between the limits the tip gives;
  • one line of text;
  • a list, one entry per line.
Setting What it does
Send Daily Emails for Abandoned Work Orders Every day at 05:05 UTC, emails each user who is responsible for abandoned work orders the list of them. Also decides whether those users are emailed when the weekly closing closes their work orders. See abandoned work orders.
Close Abandoned Work Orders Every Sunday at 03:12 UTC, closes the abandoned work orders whose last event is older than the Abandoned WO Closing Limit.
Abandoned WO Closing Limit The number of days, between 90 and 360, after its last event that an abandoned work order is closed. It has no effect while Close Abandoned Work Orders is off; the page then marks it No effect while Close Abandoned Work Orders is off.
Snooze Limit for KPIs The most days, between 3 and 30, that a KPI alert can be snoozed for.
Default Name for Load The name used for the load ID in labels across TrakIT, such as Container/Manifest. Up to 40 characters.

A work order closed by the weekly run is closed by the system, and its audit log says it was closed for being abandoned.

These apply to exports of work orders from the operations pages.

Setting What it does
Export Warning When a user exports more work orders than this, TrakIT emails all system administrators (Export Warning Exceeded). Between 100 and 20,000, and not above the Export Limit.
Export Limit The most work orders a user can export in one go, between 100 and 20,000. A larger export is stopped with Export Blocked, and the user is asked to filter out some.
Setting What it does
Outgoing Email Lets TrakIT send email. While it is off, no email at all is sent.
Incoming Email Lets TrakIT read the mailbox that TrakIT Support set up for your installation. While it is off, that mailbox is not read. Gmail and Office 365 mailboxes connected on the OAuth Inbox page are read either way.
User Email Restriction The email domains internal users may have, one per line, for example @example.com. When a user is saved, TrakIT checks that their email ends with one of them, and otherwise says Email must belong to any of below domain(s):. Start a domain with @ so that only that exact domain matches. Leave it empty to allow any address. External users are not checked.
  1. Change one or more settings. Each changed setting is marked Changed; point to the mark to see the saved value, or select the undo arrow next to it to put the saved value back.
  2. While there are unsaved changes, a bar at the bottom of the window counts them. Select Save Settings, or press Ctrl+S.

To drop all your changes, select Discard. If you leave the page with unsaved changes, your browser asks you first.

TrakIT checks every value before it saves any: a save is all or nothing. A value it refuses is marked in red with the reason, for example Must be between 90 and 360 days, and TrakIT says A setting was refused, so nothing was saved. Correct it and save again. Once saved, TrakIT says how many settings it saved.

TrakIT asks you to confirm first when:

  • you turn off Outgoing Email or Incoming Email;
  • the change would make the next Sunday’s run close more abandoned work orders, because you turn on Close Abandoned Work Orders or lower the Abandoned WO Closing Limit. TrakIT says how many work orders it would close as things stand today, and whether their responsible users will be emailed.

Each save is written to the User Action Log as App Settings Updated, with each setting’s old and new value.

Only system administrators can use this page. It checks that you are one, rather than a permission in your roles: other users who open it see Authorization Failed.
