Data and user reports
The Data & Users group of the Interactive Reports page has three reports on how TrakIT is kept up to date:
- Data Quality: how many event and data entries on work orders are NA, TBA or empty, and how late events are entered.
- Event Update Delay: how many days pass between an event and its entry, by workflow, event and user.
- User Engagement: what each user created and entered, and how long they were signed in.
To run one, select Reports > Interactive, choose it under Data & Users, set the filters and select Run report. The chart, the table, the lists behind the figures and the Excel export work as for every interactive report.
Delays are counted in whole days, from the date of the event to when it was entered. An event dated after the moment it was entered counts as a negative delay. An entry that was changed later counts from its last change.
Data Quality
Section titled “Data Quality”Data Quality shows how events and data items are filled in on the work orders created in a period: how many entries are NA, TBA or empty, and how long events took to be entered. Use it to find the workflows and fields that are often left as NA or TBA, or entered late.
A work order has an entry for each of its events and data items from the moment it is created, filled in or not. The report counts these entries, so Total events and Total items include the events and data items not filled in yet, and the percentages are shares of all of them. A data item not filled in yet counts as Empty; an event not filled in yet counts in Total events only. To find work orders with required events still empty or TBA, use Special Conditions on the Jobs page.
Filters
Section titled “Filters”| Filter | Finds |
|---|---|
| Workflows | The work orders of these workflows. |
| Customers | The work orders of these customers’ jobs. |
| WO created | Work orders created between the dates. |
| Work order status | Work orders with these statuses. It starts on Active, Abandoned and Closed. |
Figures
Section titled “Figures”| Figure | Shows |
|---|---|
| Events | The number of event entries, filled in or not. |
| Events NA %, Events TBA % | The share of event entries set to NA or TBA. |
| Update delay (days) | The average delay of the events entered with a date, leaving out events for information only. |
| Data items | The number of data item entries, filled in or not. |
| Data empty % | The share of data item entries with no value. |
Events tab
Section titled “Events tab”One row per workflow, which opens to one row per event.
| Column | Shows |
|---|---|
| Total events | The number of entries of the event on the work orders, filled in or not: one for each work order that has the event. |
| NA, NA % | The entries set to NA, and their share of the total. |
| TBA, TBA % | The entries set to TBA, and their share of the total. |
| Update delay (days) | The average number of days from the event’s date to when it was entered, over the entries with a date. |
An event for information only is marked * and shown in a different colour. Its own row shows its update delay, but its workflow’s row and the total leave it out of theirs. It still counts in Total events, NA and TBA.
Data items tab
Section titled “Data items tab”One row per workflow, which opens to one row per data item.
| Column | Shows |
|---|---|
| Total items | The number of entries of the data item on the work orders, filled in or not: one for each work order that has the data item. |
| Empty, Empty % | The entries with no value yet, and their share of the total. |
| NA, NA % | The entries set to NA, and their share of the total. |
| TBA, TBA % | The entries set to TBA, and their share of the total. |
Chart and lists
Section titled “Chart and lists”The chart follows the selected tab. It shows, for the 15 workflows with the most entries, the share of entries that are NA and TBA, and for data items also empty.
Select a count (Total events, NA, TBA, Total items or Empty), or a bar of the chart, to list the work orders with those entries. From an event or data item row, the list adds the work order’s entry:
| Column | Shows |
|---|---|
| Value | The value entered, such as a date, NA or TBA. |
| Updated | When it was last entered or changed. |
| Updated by | The user ID of who entered or changed it. |
To correct the entries, open the work order from the list, or use the Events & data page, which can find empty, NA or TBA values.
Event Update Delay
Section titled “Event Update Delay”Event Update Delay shows how promptly events are entered: how many days pass between the date of an event and the moment it is entered in TrakIT, for each workflow, event and user. Use it to find the events, and the people, that are updated late.
It counts the events that have a date as their value and were entered between the two dates: events set to NA or TBA, or empty, are left out. Only entries made by a TrakIT user count; entries recorded without a user are left out.
Filters
Section titled “Filters”| Filter | Finds |
|---|---|
| Workflows | Events of these workflows. |
| Customers | Events on the work orders of these customers’ jobs. |
| Event entered | Events entered, or last changed, between the dates. |
The report has no Work order status filter: it covers work orders of every status.
Figures and table
Section titled “Figures and table”The figures at the top are Events entered, Average delay (days) and Maximum delay (days), for all the workflows.
The table has one row per workflow, which opens to one row per event, then one row per user who entered it.
| Column | Shows |
|---|---|
| Events | The number of event entries. |
| Average delay (days) | The average number of days from the event’s date to when it was entered. |
| Maximum delay (days) | The longest of those delays. |
An event for information only is marked * and shown in a different colour. Its rows show its own figures, but its workflow’s row, the total and the figures at the top leave it out.
Chart and lists
Section titled “Chart and lists”The chart shows the average delay of the 15 slowest workflows. Select a bar, or an Events figure, to list the work orders behind it. From an event or user row, the list adds the work order’s latest entry of the event in the period (by that user, from a user row), and starts with the longest delay:
| Column | Shows |
|---|---|
| Event date | The date of the event. |
| Entered | When it was entered or last changed. |
| Delay (days) | The days between the two. |
| Entered by | The user ID of who entered it. |
User Engagement
Section titled “User Engagement”User Engagement shows how each user works in TrakIT over a period: the work orders they created, the events and data they entered, how promptly they entered events, and how long they were signed in.
Filters
Section titled “Filters”| Filter | Finds |
|---|---|
| Companies | The users of these companies. None ticked means all companies. The list shows your own companies (all companies for a system administrator). |
| Dates | The period: work orders created, entries made and sessions started between the dates. |
| Include locked users | Under Users: also list users whose account is locked. Without it, locked users are left out. |
A user is listed when they did something in the period: created or last updated one of the work orders created in it, entered an event or data item, or signed in. TrakIT Support users are not listed.
Unless you are a system administrator, the report lists only the users of your own companies, and counts only their work in the workflows you have access to: the work orders, events and data of other workflows are left out. Time logged in is not tied to a workflow and always counts in full. A note under the table says so.
Figures and table
Section titled “Figures and table”The figures at the top are Active users (the users listed), WOs created, Events updated, Data updated and Time logged in.
The table has one row per user, under User, with a Total row for the counts and the time.
| Column | Shows |
|---|---|
| User | The user’s name. |
| User ID | The user’s ID. |
| Company | The user’s company. |
| Roles | The user’s roles. * after a role means it belongs to one company. |
| WOs created | The work orders created in the period that the user created. |
| WOs updated | The work orders created in the period that the user was the last to update. |
| Events updated | The event entries the user made or last changed in the period, leaving out events for information only. |
| Data updated | The data item entries the user made or last changed in the period. |
| Average days to update | The average number of days from each event’s date to when the user entered it, over the events with a date that they entered in the period, leaving out events for information only. |
| Time logged in | The total time of the user’s sessions that started in the period, each from signing in to the last activity, in hours and minutes, for example 12h 5m. The Excel export gives it in hours. |
An entry counts for the user who made its latest change: when someone changes an entry later, it counts for them instead.
The chart shows the events and data updated by the 15 most active users. This report has no lists behind its figures: nothing in it is underlined.
Who can use these reports
Section titled “Who can use these reports”Your role needs Generate Report in the Interactive Reports section. Data Quality and Event Update Delay cover the workflows you have access to, and User Engagement the users of your companies and their work in those workflows; system administrators see all workflows and all companies.
