Activity

The Activity page of the mobile app shows one activity: its title and status, its details, and its files, comments and log, each on a tab. It is the phone version of the Activity page of TrakIT on a computer.

To open it, select an activity on the Activities page. A new activity also opens here once you create it. The arrow at the top left takes you back to the list.

The links in TrakIT’s reminder emails open the activity on the desktop. If your access includes only the mobile app, they open the mobile app’s home page instead: find the activity under Activities.

You can open an activity that you own or created, or whose owner belongs to one of your companies; a system administrator can open any activity. What you can change depends on who you are: see Who can use this page.

The title of the activity is at the top, with its status at the right: Planned, In Progress, Overdue, Completed or Cancelled. See Activity statuses.

Below it are the buttons you may use on this activity: Edit, Complete, Cancel, Re-Open and Delete. Then come the tabs: Details, then Files, Comments and Log, each with the number of its entries in brackets.

The details of the activity are in a box at the top, if it has any. Below them:

Field Shows
Date/Time When the activity starts, in your time zone, for example 14:30, 25 Sep 2026.
Duration How long it lasts, for example 1h 30m, or -.
Reminder How many hours before the start the owner is reminded, or -.
Type The activity type.
Owner The owner.
Entity, Asset, Work Order or Lead What the activity is for: the name of the customer or asset, or the number of the work order or lead. A general activity has no such line.
Team Assigned The other users who take part, if any.
Recurrence How often the activity repeats, for example Every 2 Weeks. (next occurrence created) means the next activity of the series exists.
Calendar Invite sent, if the activity has a calendar invite.
Created By Who created the activity, and when.
Last Updated When it last changed, if it has.

Select what the activity is for to open it. A work order opens in the mobile app, on its work order page. A customer, asset or lead opens its page on the desktop; if your access includes only the mobile app, it takes you to the home page instead.

  1. Select Complete to mark the activity as completed, or Cancel to cancel it.
  2. In Mark as Completed or Cancel Activity, select Yes.

TrakIT says Activity completed or Activity cancelled.

To open a completed or cancelled activity again:

  1. Select Re-Open.
  2. In Re-Open Activity, select Yes.

TrakIT says Activity reopened. The activity is then planned, in progress or overdue, depending on its date and duration.

  1. Select Edit. The Edit Activity form opens.
  2. Change what you need: Title, Details, Date, Time, Activity Type, Team Assigned, Duration, Reminder or Repeat Every.
  3. Select Save.

TrakIT says Activity updated, or No changes to save. if nothing changed. Save stays greyed until Title, Date, Time and Activity Type are filled in. Select Cancel to close the form without saving.

  • The owner, and what the activity is for, cannot be changed.
  • Once the next activity of a series exists, Date, Time and Repeat Every are greyed: The next occurrence has already been created, so the date and recurrence are fixed.
  • The fields work as when you create an activity, and the same rules apply to the start and the reminder. For an overdue activity that has a reminder, choose No Reminder or a later start, or TrakIT says Cannot set a reminder on past date/time.
  • If the activity has a calendar invite, TrakIT sends an updated invite to you and the team.
  1. Select Delete.
  2. In Delete Activity, select Yes.

TrakIT says Activity deleted and opens the Activities list. This cannot be undone. If the activity had a calendar invite, TrakIT sends a cancellation.

The Files tab lists the files attached to the activity, 20 at a time: the title, the file name and size, and who added it and when. No files means there are none. Select Load more to see the next ones.

  • Select the eye icon (Preview) to open the file in a new tab, or the arrow icon (Download) to save it on your phone.
  • To add a file, select Upload, then choose the file on your phone. The upload starts at once, and the file takes its file name, without the extension, as its title. TrakIT says File uploaded.
  • To remove a file, select its trash icon (Delete), then Yes in Delete File. TrakIT says File deleted. Some files cannot be deleted, and have no trash icon.

You add one file at a time. Unlike on a computer, you cannot give it a document type, status or expiry date.

Message What to do

Invalid File Extension or Cannot upload this file type Your installation does not accept this type of file: choose a file of another type.

To post a comment:

  1. Type it in Add a comment.
  2. Select Post.

TrakIT says Comment posted. Comments on activities are never visible to customers.

  • Each comment shows its status: Active, Pending, Resolved or Cancelled. If you can post comments, the status is a list: choose another status to change it. TrakIT says Status updated, and the comment shows who changed it and when.
  • To delete your own comment, select its trash icon, then Yes in Delete Comment. You can delete a comment within 30 minutes of posting it, and only if it was not emailed.
  • A spoken comment recorded on a computer shows as Audio comment (play it on the desktop). You cannot record spoken comments in the mobile app.

The Log tab lists what was done to the activity, the latest first, 50 at a time: the action, its details, such as the fields that changed, and who did it and when. Page views are not listed. Nothing logged yet means the log is empty. Select Load more to see older entries. See also the Action Log tab of the desktop page.
