User action log

The User Action Log page lists what users have done in TrakIT, newest first: the pages they opened, their sign-ins, and the changes they made, such as saving, approving or deleting records. Use it to find out who did what and when, or which actions are slow.

To open it, select Admin > Logs > User Action Log. The menu item and the page are for system administrators only.

The page heading also shows how many users are online now: users with TrakIT open in a browser or the app at this moment.

TrakIT adds an entry to the log as users work:

  • when a user signs in (—– Session Start —–), with the address they came from and how they signed in;
  • when a user opens many of the pages (Page Load), with the page;
  • when a user creates, changes, approves, deletes or sends something, with the details: for example App Settings Updated with the old and new values, or Delete Full Shipment with the job and the reason;
  • for some actions, how long TrakIT took to complete them.

Not every request is logged: only the pages that log their visits add a Page Load entry. Many records also keep their own log of changes, such as a work order’s audit log.

The log does not show actions that TrakIT performs by itself, such as background tasks, nor the actions of TrakIT Support. Entries are deleted after the number of months set in the data retention policy.

  1. Open Filters and fill in any of these:

    Filter Finds
    User Entries by users whose name contains the text.
    Action Entries whose action contains the text, for example Page Load or Updated.
    Data Entries whose details contain the text, for example a job reference or an email address.
    ID Entries about the record with that number, for example a work order ID.
    From, To Entries in that period, by date and time, in your time zone.
    Time Taken Entries that took more than 1s, 2s, 5s, 10s or 30s.
    Page Loads Tick Exclude to leave out the Page Load entries.
  2. Select Search.

Reset clears the filters, except Page Loads.

The list shows the newest entries that match, up to the number chosen next to Found: 10, 50, 100, 200, 500 or 1000. TrakIT remembers the number you choose. There are no further pages: to see older entries, narrow the filters, for example with To.

The list refreshes itself every five minutes while the window is in front; the countdown is above the list on the right. It pauses while you are in another window. Select it to refresh now.

Column Shows
Time When it happened, in your time zone, to a hundredth of a second.
User Who did it.
Company The user’s company.
Action What was done.
Data The details.
Ref The kind of record it was about, for example WO, Job, Finance, Invoice or User.
ID The record’s number. For most kinds of record, select it to open the record.
Time Taken How long the action took, when TrakIT measured it.

Only system administrators can use this page. It checks that you are one, rather than a permission in your roles: other users who open it see Authorization Failed.
