Portal charts
External users, such as the staff of a customer or a transporter, sign in to the portal. Its home page can show charts, for example the number of work orders created each month. The Portal Charts page sets up those charts and decides which portal roles see each one.
To open it, select Admin > Portal Charts.
Each chart counts only the records of the companies the viewing user is linked to, so the same chart shows each user their own numbers.
Who sees a chart
Section titled “Who sees a chart”An External user sees a chart on the portal home page when all of these are true:
- the chart is not disabled;
- the chart is assigned to the user’s portal role on this page (see Assign roles);
- that role has View Dashboard in the Dashboard section of the Portal group, in Role management. This page calls that permission Charts (Read);
- the user is linked to at least one entity the way the chart counts: as Customer for Work Order Volume and Job Volume, as Transporter for Work Orders Hauled. See Linked Entities.
The user’s portal role is set on the user’s record: see Roles or Portal Role.
What External users see
Section titled “What External users see”On the portal home page, the charts appear below the boxes at the top, lowest Order number first, two side by side on a wide screen. Each chart shows its title, its description and the chart itself: a line, columns, or a pie drawn as a ring. It has one point per month for the months set in Period (months), up to last month; the current month is not included.
The counts leave out cancelled work orders. They also follow any custom filters that limit the work orders the user sees (see User Level Filters).
The list of charts
Section titled “The list of charts”The page lists the charts in order of their Order number:
| Column | Shows |
|---|---|
| Order | The order of the chart on the portal home page. |
| Title | The title, with the description below it. |

The icons at the end of each row are the pencil (Edit), the people icon (Roles) and the bin (Delete). Only system administrators see the pencil, the bin and Add Chart: other users see Only a SysAdmin can add, change or delete portal charts. at the top of the page.
Add a chart
Section titled “Add a chart”- Select Add Chart.
- In New Portal Chart, enter a Title and choose what the chart Shows.
- Fill in the other chart fields you need.
- Select Save.
TrakIT says Chart saved and opens the Roles popup of the new chart, because nobody sees a chart until it is assigned to a role. Assign the roles that should see it.
A new chart starts as a line chart over 24 months, with an Order number after the last chart.

Assign roles
Section titled “Assign roles”Select the people icon (Roles) on a chart’s row. The Roles popup lists the portal roles the chart is assigned to:
| Column | Shows |
|---|---|
| Role | The portal role. |
| Users | How many users hold the role. |
| Can See Charts | Yes if the role has the permission to see charts, or No - needs Charts (Read). A role without it does not see the chart, even when it is assigned. Give the role View Dashboard in the Dashboard section in Role management. |
To assign a role:
- Choose the role in – Select an external role –. The list offers the portal roles the chart does not have yet, each with its number of users.
- Select Assign.
TrakIT says the role can now see the chart. If the role lacks the permission, TrakIT also says that its users will not see charts until it is granted in Role Management. Every external role already has this chart. means there is no role left to assign.
To take a chart away from a role, select the cross (Remove) on the role’s row. There is no confirmation: TrakIT says the role no longer sees the chart. To undo it, assign the role again.
Only portal roles can be given a chart. Only system administrators can assign and remove roles; other users can open the popup to see them. Select Close to close it.
Who can use this page
Section titled “Who can use this page”To open the page, your role needs Create in the Charts section, in the System group of Role management. With it, you see the charts and their roles. Without it, TrakIT says You do not have the permission to manage portal charts. External users cannot open the page.
Only system administrators can add, change, disable and delete charts and assign or remove roles. The page checks that you are one, rather than a permission in your roles.
