Top entities
The Top Entities page ranks the entities that take one role on your work orders, such as the customers or the transporters, by how many work orders, jobs or TEU they had in a period. It compares the ranking with an earlier period, shows how much of your business comes from a few names, and draws the trend of the entities you choose.
With the finance permissions, it also ranks customers, shippers and receivers by revenue and gross profit, compares a year with up to four years before it, and shows how much of the gross profit came from new entities.
To open it, select Analytics > Top Entities.
The page updates as soon as you change a choice; there is no Search button. Working… shows while the figures load. TrakIT remembers your choices in this browser and opens the page with them next time.
Entity type tabs
Section titled “Entity type tabs”The tabs at the top choose the role you rank. Each tab is an entity type and counts the entity named in that role:
| Tab | Counts the entity that is |
|---|---|
| Customer | The customer of the work order’s job. |
| Shipper, Receiver | The shipper or the receiver of the job. |
| Carrier | The carrier of the work order. |
| Transporter | The transporter of the work order, or its return transporter. |
| Bond Agent, Clearing Agent | The bond agent or the clearing agent of the work order. |
An entity counts only if the tab’s type is its main type or one of its other types. Types that TrakIT Support has hidden on your installation have no tab.
A work order with different outbound and return transporters counts once for each of them. In the same way, a job whose work orders have different carriers, transporters or agents counts once for each. Totals and shares add up the figures of the entities, so they stay consistent with the ranking.
Selecting another tab clears the search, the quick filter and the entities chosen for the trend.
Choose what to rank
Section titled “Choose what to rank”| Choice | What it does |
|---|---|
| Company | Next to the tabs. Counts only the work orders of workflows whose Responsible Company is this company, and only the entities it is responsible for or that are enabled for it on their Per Company tab. Revenue and gross profit count the jobs in this company’s books instead. It lists the companies you have access to and starts on your own company, or the first in the list. The figures are always for one company. If you have only one company, its name shows instead. |
| Period | When the work orders were created. See Periods and comparisons. With Revenue or Gross profit, Year takes its place. |
| Compare with | Previous period, Same period last year or No comparison. With Revenue or Gross profit, how many years before the year you choose: The year before, or The 2 years before to The 4 years before. |
| Rank by | Work orders: every work order the entity had. Jobs: the jobs those work orders belong to, each counted once. TEU: twenty-foot equivalent units, where a 20-foot container counts 1, a container of 40 feet or more counts 2, and a work order with any other or no container length counts 0. Revenue and Gross profit: see Revenue and gross profit. |
| Show | How many entities to rank: Top 10, Top 25, Top 50, Top 100 or Top 250. The headline figures always cover every entity in the role. |
| Workflow | All workflows, one workflow, or All of a workflow group. Workflows are grouped by workflow group, with Other workflows for those without one, and an inactive workflow shows (inactive). It lists the workflows of the selected company that you have access to, and appears only when there is more than one. |
| Entity groups | Select Combine each group to count the entities of a customer group as one row, under the group’s name. An entity’s group is its Customer Group, set on the entity. The checkbox appears only if customer groups are set up. |
Point to the (i) next to a choice to see how it works.
Which work orders count
Section titled “Which work orders count”- Work orders count in the period in which they were created, by the date in your time zone.
- Cancelled work orders are left out. Active, abandoned and closed work orders all count.
- You see only the work orders of the workflows you have access to. System administrators see all of them.
The line under the choices sums up what you see, for example the company, the period and its length, the comparison period, your time zone and when the figures were read.
Periods and comparisons
Section titled “Periods and comparisons”| Period | Covers |
|---|---|
| This month, This year | From the first day of the month or year to today. |
| Last month, Last 3 months to Last 36 months | Whole calendar months, ending with last month. |
| Last year | The previous calendar year. |
| All time | From the first work order. There is no comparison, so Compare with is greyed out. |
| Choose dates… | The days you enter in From and To. When they are empty, they start with the period on screen, so you can change just one end. The period cannot end after today or start more than 30 years ago. |
With Choose dates…, if To is before From, the page says The period ends before it starts and keeps the figures it shows.
The comparison period is:
- Previous period: the period just before, of the same length: the months before for Last month to Last 36 months, the same days of last month for This month (fewer if last month was shorter), and the same number of days before for chosen dates. For This year and Last year, it is the same days a year earlier.
- Same period last year: the same days a year earlier. It is not offered for periods longer than a year (Last 24 months, Last 36 months, or chosen dates that span a year or more); those compare with the previous period.
- No comparison: the comparison figures and columns are hidden.
Trends are shown by the week, from Monday, for periods of up to 92 days, and by the month for longer periods.
Revenue and gross profit
Section titled “Revenue and gross profit”Rank by offers Revenue and Gross profit if your role has Read, Read Actuals and Access Income Accounts on Job Finance. They are offered on the Customer, Shipper and Receiver tabs only: a job’s charges belong to the job, and a job names those entities itself. On another tab, Rank by goes back to Work orders.
Choose the year in Year: This year (to date) or one of the nine years before it. In Compare with, choose how many years before it to show beside it, up to four. The places up or down and the change are against the year just before.
Which jobs count
Section titled “Which jobs count”- A job counts in the year of its Rev/Exp Recognition date. A job with no recognition date yet counts in the year it was created, by the date in your time zone.
- This year (to date) runs from 1 January to today, and each earlier year is cut to the same day, so the years compare like for like. A past year is the whole calendar year.
- The figures follow Job Profitability: only jobs whose finance is Approved, Closing requested or Closed count, each with all its actual charges, before tax. Revenue is the income charges. Gross profit is revenue less the expense charges. Disbursements are passed through and left out.
- Every job in the selected company’s books counts, whichever company the entity belongs to, so the totals match Job Profitability. A job that names no entity in the role is left out.
- An entity counts in a role only if the tab’s type is its main type or one of its other types.
- You see only the jobs of the workflows you have access to. System administrators see all of them.
Amounts are in the company’s currency, rounded to its decimals. Any other currency is converted at one rate, the latest on or before the last day shown. Point to the (i) next to the currency, on the line under the choices, to see the rates used. A currency with no rate is left out of the amounts, and the line names it in red.
New entities
Section titled “New entities”An entity is new in a year when its first job with revenue in this company falls in that year (for this year, up to today). TrakIT looks at every workflow you have access to, whichever you choose in Workflow. With Combine each group, a group is new only when none of its entities had revenue before.
In the first year of the company’s records, every entity counts as new. When that year is the one you rank, the New box says Records start in the year.
Headline figures
Section titled “Headline figures”The boxes at the top sum up the whole role, not only the entities ranked. With a comparison, each figure shows its change, for example 12% vs the previous period, No change or Up from none. Point to the change to see the earlier figure and its dates.
| Box | Shows |
|---|---|
| Work orders, Jobs or TEU | The total of every entity in the role, by the measure you rank by. Without a comparison, the work orders total also says how many are active and closed. |
| With work orders | How many entities had at least one work order in this role in the period. |
| Top 10 share | The part of the total that the ten largest had. The higher it is, the more the business depends on a few names. |
| 80% comes from | The fewest entities that together make up 80% of the total, and what part of all the entities they are. |
| New in the top N | With a comparison: how many entities are in the top N now but were not in the comparison period, and how many of them had nothing at all then, by the measure you rank by. Select the box to list them. |
With Revenue or Gross profit, the boxes are for the year you rank, against the year before:
| Box | Shows |
|---|---|
| Revenue, currency | The revenue of every entity in the role. |
| Gross profit, currency | The gross profit of every entity in the role, and its part of the revenue. |
| With revenue | How many entities had revenue in this role. |
| Top 10 share, 80% comes from | As above, by the figure you rank by. With Gross profit, loss-making entities are left out of these two. |
| New entity type GP | The part of the gross profit that came from new entities, how many new entities there are, and their part of the revenue. Select the box to list them. |
Ranking and concentration
Section titled “Ranking and concentration”The first chart has three views. Select one at the top right of the chart:
- Ranking: the largest 15 as bars. With a comparison, a lighter bar beside each shows the comparison period. Point to a bar for its figures and change; select it to add the entity to the trend, or to take it off. Every figure is also in the ranking table.
- Concentration: how much of the total the largest entities make up. The curve runs from the largest entity to the smallest; the straight line, An even spread, is what it would look like if every entity had the same. The further the curve rises above the line, the more the total comes from a few entities.
- Table: the concentration as figures. For the largest 1, 5, 10, 25, 50 and 100 entities, the largest 10%, 20% and 50% of them, and the number that make up 80%, it shows their Share of entities and their share of the total.
The second chart shows the chosen entities week by week or month by month. Choose the view at the top right of the chart:
| View | Shows |
|---|---|
| Lines | Each entity as a line. |
| Stacked | The entities stacked on Everyone else, so that each bar is the whole role. |
| Share | Each entity as a part of the whole, so a change in an entity’s share shows even when the role’s total rises or falls. |
| Table | The same figures, or the shares after Share, for each week or month, newest first, with the total of the role in the last column. |
Until you choose your own, the chart shows the five largest entities. To compare others:
- In the ranking table, tick the box at the start of an entity’s row. The box takes the colour the entity has in the chart.
- Tick up to eight entities. Clear a box to take the entity off the chart.
Clearing all the boxes goes back to the five largest. Selecting a bar in the Ranking chart does the same as ticking the entity’s box.
A week or month that the period covers only in part has a dashed line, because its lower figure comes from the calendar, not from the entity. In Table, such a row says how many of its days are in the period.
With Revenue or Gross profit, the chart shows one point per year, oldest first. In Table, the From new column shows the part of each year’s figure that came from the entities new that year.
The ranking table
Section titled “The ranking table”The table lists the entities ranked, largest first, 50 at a time. Select Show all under the table to see the rest.
- Type in Find an entity or group to find an entity by its name or its group’s name.
- With a comparison, select All, Climbing, Falling or New to list all the entities, those that moved up or down the ranking, or those new in the top N. Each shows how many entities it holds.
- Select a column heading, other than Share and Trend, to sort by it, and again to reverse the order. Ranks and names sort from the top and from A to Z, figures from the largest.
| Column | Shows |
|---|---|
| Trend box | Tick to show the entity in the trend chart. |
| # | The entity’s rank. |
| +/- | With a comparison: how many places the entity moved up (green) or down (red) since the comparison period, a dash if it kept its place, or New if it had nothing then, by the measure you rank by. Point to it for its earlier rank. |
| Entity | The entity’s name, which opens the entity in a new tab. Inactive marks an inactive entity. Its customer group, if it has one, is below its name. A combined group shows Entity group of and how many entities of this type are in it, and does not open. The heading is the tab’s name, for example Customer. |
| WOs, Jobs or TEU | The entity’s figure, with a bar for its size against the largest. |
| Share | The entity’s part of the total of the whole role. |
| Before, Change | With a comparison: the figure in the comparison period and the change in percent, green for a rise and red for a fall. New means the entity had nothing before, by the measure you rank by. |
| WOs | When you rank by Jobs or TEU: the entity’s work orders. |
| Active, Abandoned, Closed | The entity’s work orders in the period by status. Abandoned appears only if one of the entities has abandoned work orders. |
| Last WO | How long ago the entity’s latest work order was created, at any time, within the same company and workflow choice. Point to it for the date and time. A red mark means it has had no work orders for 30 days or more. |
| Trend | A small chart of the entity’s figure over the period. Point to it for the figure of each week or month. |
With Revenue or Gross profit, the table has these columns after the entity:
| Column | Shows |
|---|---|
| +/- | How many places the entity moved since the year before, or a dash if it kept its place or had no jobs then. |
| Entity | As above. New marks a new entity; point to it for the date of its first revenue. |
| One column per earlier year | The entity’s figure in that year, oldest first. |
| The year you rank | The entity’s figure, with a bar for its size against the largest. The ranking follows this column. |
| Change | The change against the year before, in percent. From none means the entity had nothing that year. |
| Share | The entity’s part of the year’s total of the whole role. |
| GP or Revenue | The figure you do not rank by, in the year you rank. |
| GP % | Gross profit as a part of revenue, in the year you rank. |
| Jobs | The entity’s jobs in the year you rank. |
| Since | The month of the entity’s first revenue in this company. |
| Trend | A small chart of the entity’s figure year by year. |
With Revenue or Gross profit, the New quick filter lists the new entities.
On a narrow screen, some columns are hidden. The downloaded file has them all.
Download the ranking
Section titled “Download the ranking”Select Download CSV above the table to save the ranking as a CSV file, which opens in a spreadsheet program. It holds every entity that matches the search and the quick filter, not only the 50 on screen, with these columns:
- Rank, and Previous rank with a comparison;
- Entity ID, Entity and Entity group;
- the figure you rank by, and Share %;
- with a comparison, the figure in the comparison period and Change %;
- Active work orders, Abandoned work orders and Closed work orders;
- the other two measures, for example Jobs and TEU when you rank by work orders;
- Last work order, with its date and time;
- one column for each week or month of the period.
With Revenue or Gross profit, the file has Rank, Previous rank, Entity ID, Entity, Entity group, whether the entity is new, its First revenue date, then the revenue, the gross profit and the jobs of each year, oldest first, and the share, the change and the GP % of the year you rank.
Download CSV appears if your role can export entities.
