Rail in / out

The Rail In / Out screen of the mobile app gates the containers of a train in or out of the yard as one batch. You list the containers with their wagons, then save the batch as planned moves or carry out all the moves at once. Each container gets its own gate-in or gate-out move, recorded as a rail move.

To open it, on Yard operations, open the Gate tab and:

  • select Rail In/Out to start a new batch, or
  • select one of the planned moves of a batch saved earlier: the screen opens with every container still planned in that batch.

The screen shows the yard’s name next to its title, for example Rail In / Out - Main Yard. A new batch is made in the yard you chose on Yard Operations. The arrow icon (Back) returns to Yard Operations without saving. Rail moves already carried out open on Gate in or Gate out, like truck moves. For a yard’s work from start to finish, see Running a yard.

Select Rail In for containers arriving by train, or Rail Out for containers leaving by train. Until you do, the screen says Select Rail In or Rail Out above to begin., and Save All and Execute All are greyed out.

A batch is either all Rail In or all Rail Out. Switching to the other tab empties the list. A batch saved earlier is not changed by this: its planned moves stay on the Gate tab of Yard Operations.

  1. Select Rail In.
  2. Set the defaults that most of the containers share: Direction, Full/Empty, Zone and Wagon.
  3. Add the containers, in any of these ways:
    • In Add Container, type at least two characters of a container number and choose the container. The list offers up to 50 containers that are not in any yard.
    • In Paste Containers (one per line), paste or type the container numbers, one per line, and select Add.
    • For a container TrakIT does not know yet, select the plus icon (Add New Container): see Add New Container.
  4. Check each row, and correct the values that differ from the defaults.
  5. Select Execute All to gate the containers in, or Save All to keep them as planned moves. See Save or execute the batch.

Each container you add gets a row, filled in from the defaults. A container is not added if it is already in the list, if it is blocked, or if it already has a planned gate-in in this yard: TrakIT says Not Added and why, for example a planned Gate-In already exists. Open that planned move from the Gate tab instead.

When you paste numbers, TrakIT removes spaces and uses capitals. A number TrakIT does not know yet is added with an empty Type, outlined in yellow: enter its four-character type code, for example 22G1. Such a container is added to the container master when you save or execute the batch. If some numbers were not added, TrakIT says how many were added and skipped, for example Added 5, Skipped 1, and lists each skipped number with the reason, such as not a valid container number (fewer than three characters, or characters other than letters, digits, hyphens and slashes) or already in the list.

Column What to enter
# The row number.
Container The container number.
Type The container’s type code. You enter it only for a container TrakIT does not know yet; it is then required.
Direction Import, Export or Other. Required for a full container.
Full/Empty Full or Empty.
Seal The seal number of a full container, if you have it. For a container that has been in a yard before, it starts with the seal of the container’s last move: change it to the seal the container arrives with. For an empty container, the box is cleared and greyed out.
Zone The zone of the yard the container goes to. Required to execute. If you save without a zone, TrakIT uses the yard’s default zone; in a yard without one, the zone is required to save too. See Warehouses & yards.
Wagon The wagon number, up to 20 characters. Required to execute.
Cross icon Remove: takes the container off the list. See Remove containers from a saved batch.

Use it for a container that is not in the container master yet, so that the Add Container search cannot find it.

  1. Select the plus icon (Add New Container) next to Add Container.
  2. Enter the Container Number.
  3. Enter the Load Type, for example 45G1, or select the magnifying glass to choose it in Select Type.
  4. Select Save.

TrakIT adds the container to the container master straight away, then adds it to the list with the defaults. If the number is already in the container master, TrakIT uses that container. If the entry is wrong, the window stays open with a message, such as Container Number is not valid as per ISO Standard. The checks are the same as on Gate in: see Add New Container. Select Cancel to close the window without adding a container.

  1. Select Rail Out.
  2. If most containers leave on the same wagon, enter it in Wagon under the defaults.
  3. Choose each container in Add Container. The list offers the containers in the yard, with their length or type code, for example ABCU1234560 - 40. Each one you choose gets a row.
  4. Enter the Wagon of each container that differs.
  5. Select Execute All to gate the containers out, or Save All to keep them as planned moves.

A container is not added if it is already in the list (Already Added), if it is blocked (Container Blocked), or if it already has a planned gate-out in this yard (Move Exists).

Column Shows or what to enter
# The row number.
Container The container number.
Type The container’s type code.
Wagon The wagon number, up to 20 characters. Needed to execute.
Cross icon Remove: takes the container off the list.

You do not choose Full/Empty or Direction for Rail Out: TrakIT takes them from the container’s last move in the yard, and carries its damage, grade and dirt status over too. A full container whose last move has no direction cannot be gated out here: TrakIT says Direction could not be determined from the last move. Gate it out on Gate out instead, where you can choose the direction.

The grey box above the list holds the values TrakIT fills in for each container you add:

Default Used for
Direction Rail In only. Import, Export, Other, or — for none.
Full/Empty Rail In only. Full to start with.
Zone Rail In only.
Wagon Rail In and Rail Out.

Changing a default does not change the rows already in the list. To copy the defaults onto every row, select Apply to All. This replaces the rows’ values, including those you changed by hand: on Rail In the direction, full/empty status, zone and wagon, on Rail Out the wagon.

  • Save All saves every container as a planned move, all in one batch. The screen reloads with the saved batch, marked Saved Batch, and TrakIT says, for example, 5 container(s) saved successfully. The planned moves appear on the Gate tab of Yard Operations and on Yard planning. Select any of them later to open the batch again.
  • Execute All carries out the whole batch: Rail In puts the containers in the yard, Rail Out takes them out. TrakIT returns to Yard Operations and says, for example, 5 container(s) gated in successfully or 5 container(s) gated out successfully.

On Rail In, TrakIT checks every row before it saves anything. If a row is incomplete, it says Validation Failed and lists each problem with its container number, for example ABCU1234560: Wagon is required. The batch is then saved as a whole: if one container fails, for example because it is already in the yard when you execute, nothing is saved. TrakIT says Save Failed, Gate-In Failed or Gate-Out Failed, with the container, the reason, and No changes were saved., No containers were gated in. or No containers were gated out. Correct or remove that container and try again.

Each container is linked to its matching work order, found as on Gate in, without the screen showing it. If none matches, the move is saved without one; it can be linked later on a computer, see Link or unlink a work order. When the moves are carried out, TrakIT fills the linked work orders’ yard move trigger events, as for truck moves: see Running a yard. Rail moves do not add trucks to Yard trucks.

On a saved batch, removing a container with its cross icon does not delete its planned move at once. The screen shows how many moves will be deleted, for example 1 move to delete on save, and the moves are deleted when you next select Save All or Execute All. If you leave the screen without saving, they stay planned.

If you remove every container and select Save All, TrakIT deletes the planned moves, returns to Yard Operations and says Batch removed - no planned moves left. If one of the removed moves was carried out on another device in the meantime, TrakIT says Removal Failed, and that the move has already been executed and cannot be removed.

Message What to do
Direction is required for full containers Choose the Direction of each full container.
Zone is required, Wagon is required Fill in the zone and the wagon of each container to execute.
Type is required Enter the type code of each container TrakIT did not know.
Container Number is not valid as per ISO Standard Check the number, or the type code of a container that is not an ISO container.
Vehicle Number is required Rail Out: enter the Wagon of each container.
Container is already in yard Rail In: the container’s last move was not a gate-out. Check its moves on the container master.
Seal Number must be unique The seal number is already recorded on another executed move. Check the seal.
Could not load last move for this container Rail Out: the container has no move carried out in this yard.
No Containers Add at least one container before saving or executing.
Batch Not Found The batch you opened has no planned moves left: it was carried out or deleted.
Permission Denied Your role cannot plan or execute yard moves: see Who can use this page.

If the screen cannot open, see In the mobile app: for example Authorization Failed with The yard is not one of your yards when the batch or your chosen yard belongs to a company you have no access to.

  • Your user needs the PWA access mode, and Yard Ops in your PWA menu access: see Yard operations.
  • The yard must belong to one of your companies.
  • Your role needs these permissions in the Yard Moves section:
Permission Allows you to
Read Open the screen.
Plan Moves Select Save All, together with Create or Update.
Execute Moves Select Execute All, together with Create or Update.

Save All is greyed out without Plan Moves, and Execute All without Execute Moves. Removing a container from a saved batch deletes its planned move: that needs Delete, Create, Update, Plan Moves or Execute Moves.
