Yard move

The Yard Move page shows one move of a container or truck in a yard: its details, the work order it is linked to, and tabs for its photos, files, data fields, the container’s other moves and the action log. It is also where you correct a move, link it to a work order, cancel it or delete it.

To open a move, select its Move ID on Yard moves, Yard planning, Yard inventory or Container master, on the work order’s Yard Moves tab, or in an exported list of moves. It usually opens in a new tab. The title shows the move’s number, for example Yard Move - ID 1234.

Moves are usually recorded with the Device app. This page is for checking and correcting them afterwards.

  • Below the title, the move type and the container are shown in bold, for example Gate In - ABCU1234567.
  • The share icon (Share Move Link) shares or copies the link to the move. The link needs a TrakIT sign-in.
  • App opens the move on the Device app, in a new tab, on the screen for its kind of move.

A cancelled move’s details have a light red background.

When the move is linked to a work order, Work Order Data follows, with a link to the work order (WO and its number) and the work order’s events and data fields that are set to be shown in its header, if you can see them.

Below the details:

  • Link/Unlink WO links the move to a work order or removes the link: see Link or unlink a work order.
  • At the right, the pencil icon (Modify) changes the move, the no-entry icon (Cancel) cancels it and the bin icon (Delete) deletes it.

Your company can also have its own checks that stop an action with a message, and its own actions that run when a move is changed, linked, unlinked, cancelled or deleted.

You can correct some details of a move that is not cancelled.

  1. Select the pencil icon (Modify).
  2. Change the fields you need, described below.
  3. Select Save.

Cancel leaves without saving. While you modify the move, the tabs are hidden.

Field Notes
Move Type, Container, Type Code, Area Shown for information; they cannot be changed. Area is the zone.
Position Shown when the move has a position; it cannot be changed.
Direction Import, Export, Other, or — for none. It cannot be changed while the move is linked to a work order: unlink it first.
Full/Empty Shown for information.
Mode Truck or Rail.
Vehicle # The truck or wagon number, saved in capitals and without spaces. If you clear it, the move keeps its number.
Seal No.(s) The seal numbers, saved in capitals. Required for a full container, except on Stuff Partial and Strip Partial moves.
Damage On Gate In and For Repair moves only.
Grade Grade A, Grade B or Grade C. On Gate In, Status Change and Cleaning moves only.
Dirty Unspecified, Sweep Required, HP Water Wash Required or Chemical Wash Required. On Gate In and Cleaning moves only.
Remarks The move’s remarks.
Executed When the move was carried out, in your time zone. Only on an executed move, and only if your role can backdate moves. You can move it by up to 7 days either way, but not before the container’s previous move or after its next move.

TrakIT then works out the move’s computed data fields again. Changing Executed does not change a work order event that a yard move trigger has already filled.

Message What to do
Seal is required for non-empty container, Seal is required for Stuffing Enter the seal number.
Vehicle Number is required Enter the vehicle number of the gate move.
Executed Date/Time cannot be changed by more than 7 days Choose a time within 7 days of the time already saved.
Executed Date/Time cannot be earlier than the previous move., Executed date/time cannot be later than the next move. Choose a time between the container’s previous and next moves. Check them on the Move History tab.

Cancelling keeps the move as a record, but it no longer counts. Only an executed move can be cancelled, and only the container’s latest executed move. The no-entry icon (Cancel) appears on an executed move that is not cancelled, if your role can cancel moves.

  1. If the move is linked to a work order, unlink it first: see Link or unlink a work order.
  2. Select the no-entry icon (Cancel).
  3. In Cancel Move, enter the Reason for Cancellation, if you want one, up to 500 characters.
  4. Select Yes. No closes the popup without cancelling.

TrakIT says Move was cancelled successfully. This cannot be undone. TrakIT:

  • marks the move as cancelled: it is shown in red in the lists, and Cancelled By shows who cancelled it;
  • puts the container back where it was before the move: a cancelled Gate In takes the container out of the yard, a cancelled Gate Out puts it back in the yard, and a cancelled In Stack frees the position;
  • records the reason in the Action Log.

Once a move is cancelled, it can no longer be modified, and its photos, files and data fields can no longer change.

Message What to do
Please unlink Work Order before cancelling the move. Unlink the work order, then cancel the move.
Only the latest executed move can be cancelled The container has a later move. Cancel the later moves first, starting with the latest.

Deleting removes the move for good, with its photos and files. You can delete a planned move, or the container’s latest executed move. The bin icon (Delete) appears on a planned move if your role has any of Create, Update, Plan Moves, Execute Moves or Delete for yard moves, and on an executed move if it has Delete.

  1. Select the bin icon (Delete).
  2. Select OK to confirm that Move deletion cannot be undone.

TrakIT deletes the move and opens Yard moves. A deleted Gate In takes the container out of the yard, and a deleted Gate Out puts it back in the yard. If the container has a later move, TrakIT says Only the latest executed move can be deleted.

To keep a record of the move, cancel it instead.

  1. Select Link/Unlink WO.
  2. In Select Work Order, select the work order. To remove the link, select Unlink Work Order.
  3. Select Update.

TrakIT says Work Order linked successfully or Work Order unlinked successfully. Close closes the popup without changing anything. Link/Unlink WO is greyed out on a cancelled move, on a move in a yard of a company you do not have access to, or if your role cannot update yard moves.

The popup lists the work orders that match the move: active or abandoned work orders for the same container, in a workflow linked to the yard that you have access to, whose workflow type fits the move’s direction. It shows their WO ID, job reference, Created date, Workflow, Services, Carrier, Customer and Last Event. The current work order, if it is in the list, is marked. For the matching rules and what linking does, such as filling an event set up as a yard move trigger, see Link moves to work orders.

When you link the move, TrakIT also copies the values of the move’s data fields to the work order’s data, for the fields set up to do so.

Message What to do
Please select an option Select a work order or Unlink Work Order, even if it is already marked.
Work Order linking error: Cannot link to this Work Order The work order is not for this container, or its workflow is not linked to the yard.
Work Order linking error: Cannot link to a closed or cancelled Work Order Choose an active or abandoned work order.
Work Order linking error: You do not have access to this Work Order’s workflow Choose a work order in one of your workflows, or ask your administrator for access to that workflow.
Work Order linking error: Permission Denied Your role cannot update yard moves.

The tabs below the details are Photos, Files, Data, Move History and Action Log. The page opens on Photos.

The Photos tab shows the move’s photos, such as pictures of the container or its damage, with their titles, who added them and when. Found counts them. Select a photo to see it full size, and use Search Title to find photos by title.

Photos can be added and changed while the move is not cancelled, if your role can update yard moves:

  1. Select Add Photos.
  2. In Upload Photos, drag the photos onto the box, or select Select Photo(s). The upload starts at once.
  3. Select Close.

Photos can be jpg, jpeg, png or tiff files, up to 20 MB each. Each photo is titled with its file name. To take a photo with your device’s camera, select Take Photo. If the page has been open for more than a day, the upload stops with You do not have permission to add files here. Please reload the page and try again. Reload the page and add the photos again.

To change a photo’s title, select the title. In Modify Title, change the Title and select Update, or select the delete icon at the bottom left (Delete Photo), then confirm, to delete the photo.

Photos taken with the Device app when the move was recorded appear here too.

The Files tab lists the move’s files, 10 per page, with their title, file name, type, status, expiry date (red once expired), size and who uploaded them, and how long ago. Select the icons to download, preview or print a file.

Documents generated for the move on the Device app are added here too. They are locked and cannot be deleted.

To add files, while the move is not cancelled and if your role can update yard moves:

  1. Select Add Files.
  2. In Upload Files, enter a File Title, and choose a Document Type, a Document Status and a Document Expiry if needed. Without a title, each file is titled with its file name.
  3. Drag the files onto the box, or select Select File(s). The upload starts at once.
  4. Select Close.

Each file can be up to 20 MB, of the types listed in the popup. As with photos, if the page has been open for more than a day, the upload stops: reload the page and add the files again.

To change a file’s details, select its pencil (Modify Document), make the changes in Modify File and select Update. To delete the file, select the cross at the bottom left (Delete File), then confirm.

The Data tab lists the move’s data fields: extra fields your company has set up for yard moves, for this type of move and for all move types. Fields limited to companies that do not use the yard are left out.

  1. Enter the Value and Remarks of the fields you need. Depending on the field, you type the value, choose a date, choose a place or an entity from a list, or choose one or more values from a list.
  2. Select Save.

Use Search to find a field by name or code. A star marks a required field. Computed fields are worked out by TrakIT and cannot be changed. Inactive fields are shown in red. You can change data fields while the move is not cancelled, if your role can update yard moves.

When you save, TrakIT also copies the new values to the data of the linked work order, for the fields set up to do so.

To add fields, a system administrator uses Admin > Masters > Data Fields, on the Yard Moves tab: for one move type, or for [ All Move Types ]. Fields for all move types can also appear as columns on Yard moves and are exported with it.

The Move History tab lists the executed moves of the move’s container, the most recent first, 20 per page. It shows how the container went through the yard, and helps when you correct the Executed time of a move. It lists the moves made in the yards of the companies you have access to; system administrators see the moves in every yard.

The move you are on is highlighted. Cancelled moves are shown in red. Select another Move ID to open that move in a new tab.

Column Shows
Move ID The move’s number.
Executed When the move was carried out, in your time zone.
Type The container type, with its type code below.
Move The move type.
Direction, Mode Import, Export or Other, and Truck or Rail, or -.
Zone, Position Where the container was put.
Full/Empty Whether the container was full or empty.
Workflow, WO, Services The linked work order, which opens the work order, with its workflow and services.
Job reference The job reference of the linked work order. The heading uses your company’s short name, for example B/L.
Photos How many photos the move has.
Data fields The yard move data fields set up for all move types with Display on, for your company.
Remarks, User The move’s remarks, and who executed it, or System.

Select Export to download the list as an Excel file, if your role can export yard moves. It has the columns Move ID, Executed, Type, Move Type, Direction, Mode, Full/Empty, Position, Workflow, Work Order, Services, the job reference, Zone, Bay, Row, Tier, Executed By, Vehicle Num and Remarks, followed by the yard move data fields set up for all move types. The move and work order IDs link to TrakIT.

The Action Log tab lists what was done to the move and when: its creation and execution (Yard Move Created, Yard Move Executed), changes (Yard Move Updated, with the changed details), changes to the executed time, work order links and unlinks (Move WO Link, Move WO Unlink), the cancellation with its reason (Yard Move Cancelled) and more. Use Search to find a user, action or value, and Show Page Loads to include page views. Select Export to download the log as an Excel file. How long the log is kept depends on your installation’s data retention policy.

Your role needs Read in the Yard Moves section to open a move, see its tabs and download its files and photos. The other permissions in the Yard Moves section:

Permission Allows you to
Update Modify the move, link and unlink work orders, add, change and delete photos and files, and change data fields, while the move is not cancelled. Delete planned moves.
Backdate Move Change Executed when you modify an executed move.
Cancel Move Cancel executed moves.
Delete Delete executed moves and planned moves.
Create, Plan Moves, Execute Moves Delete planned moves.
Export Export the move history.

Giving a role Backdate Move or Cancel Move also gives it Execute Moves, which is used on the Device app.

A move in a yard of a company you do not have access to opens read-only, whatever your role: you can see it and its tabs, but you cannot modify, cancel or delete it, link or unlink a work order, or change its photos, files and data fields. If your access changes while the page is open, TrakIT refuses the change with The move is not in one of your yards. System administrators can work on moves in every yard.
