Jobs

The Jobs page lists your shipments. In the portal, each shipment is a job: one assignment the company handles for you, for example the containers of one bill of lading. Each container or load of a job is a work order. From this list you open a job to see its work orders, its documents and its comments.

To open the page, select Jobs in the portal menu, or View Jobs on the Jobs box of the home page.

You see the jobs of the companies you are linked to as their customer. If the menu has no Jobs, your account is not set up for it: see Who can use this page.

  1. Fill in one or more of the filters at the top of the page.
  2. Select Search, or press Enter in one of the text boxes.

The number of jobs found appears above the list, for example 125 found. Clear empties the filters and lists all your jobs again.

Filter Finds
Transport Document Jobs whose reference contains the text. The job reference is the company’s main reference for the job, such as the bill of lading number.
Container/Manifest Jobs with at least one work order whose container number, or whose reference for a load without a container, contains the text.
Type Imports, Exports or Others (jobs that are neither imports nor exports), or – All – for every job.

Text filters find any part of the value, so 4521 finds ABCU4521873. The filters are not kept: when you open the list again, for example after going back from a job, it starts with no filters and on the first page.

The list shows one row per job, 25 jobs per page, the most recently created jobs first. Select a row to open the job.

When there is more than one page, Previous and Next below the list move between pages, and Page 2 of 5 shows where you are. If no job matches, the page says No Jobs Found.

The columns are set up by the company for its external users, so yours may differ. They often include:

Column Shows
ID The job’s number in TrakIT.
T/D The job reference, for example the bill of lading number.
Shipper, Receiver The shipper and the receiver of the goods.
Carrier The carrier, such as the shipping line.
Work Orders How many work orders the job has, not counting cancelled ones.
Open How many of those work orders are still open: not closed or cancelled.

The company can also add columns for the dates of the job’s events, such as the arrival of the vessel, and for the values of its data fields, such as a booking number. Such a column is empty for a job whose workflow the company has not set to show that event or field to customers. Dates and times are shown in your time zone. A column whose title contains the word Status shows its value as a coloured badge.

A column heading that is a link can be sorted. Select it to sort the list by that column in ascending order, for example A to Z or oldest first; select it again to reverse the order. An arrow next to the heading shows the column and direction of the sort. Sorting takes you back to the first page.

Which columns can be sorted depends on how the company has set up the columns. When none can, the list stays in its usual order, the most recent jobs first.

If your role allows it, Columns next to the filters lets you choose which columns the list shows and in what order.

  1. Select Columns. The Job Columns popup lists the columns available to you.
  2. Tick the columns to show, and clear those to hide. A column marked Always shown cannot be hidden.
  3. To move a column, select the up arrow (Move up) or the down arrow (Move down) on its row. The column at the top of the popup is the first column of the list.
  4. Select Save.

The list reloads with your columns. TrakIT keeps your choice for your next visits, whichever browser you use.

  • Reset to Default throws away your choice and goes back to the columns the company set up.
  • Cancel, or the cross at the top, closes the popup without changing anything.

The popup offers only the columns the company has made available; to have another one added, ask your contact at the company. Once you have saved your own choice, changes the company later makes to its columns do not reach your list until you select Reset to Default.

The work orders of a job have their own columns, chosen on the job: see Choose the work order columns.

The page needs a portal role with these permissions:

You also need to be linked to at least one company as its Customer. The list shows the jobs whose customer is one of the companies you are linked to that way. The company can narrow this further with filters set for your account. A link as a Transporter does not show jobs: it shows the work orders you carry, under Work Orders.

Your contact at the company sets up your role and your links. For administrators, see Jobs & Work Orders, Profile and Linked Entities.
